Job description

Title: Operations Specialist Reports to: Sales Operations Manager The Colorado Statewide Internet Portal Authority (SIPA) is an independent governmental entity that provides e-Government solutions to more than 1,000 state and local governments across the state of Colorado. SIPA is seeking a detailed-oriented, conscientious, self-motivated Operations Specialist who will support the activities of the Sales Operations Manager and Sales and Marketing team. This is a new position that will have diverse responsibilities including: preparing quotes and statements of work for customers for new services and renewals; keeping contacts, contracts, accounts, and opportunities updated in Salesforce; generating reports; supporting SIPA’s annual User Conference and micro-grant program; reviewing SIPA’s supplier partner performance on specific projects; and monitoring contracts and renewals. The successful candidate will be willing to take on new opportunities as they arise. We expect adaptability, hard work, and general analytical ability that can be applied to new challenges. We are willing to train the right person to become outstanding in this role. This is a great position for a meticulous person who enjoys a small-company-feel. Duties and Responsibilities : Sales Operations Support (85) Assist the Sales Operations Manager to: Create new Accounts, Quotes, Opportunities, Contacts, Contracts, and Products in Salesforce. Review Statements of Work created by SIPA Partners in order to summarize the project and create a Risk Assessment for the COO and Executive Director to approve Draft Quotes and Statements of Work versions for Customers from the versions created by the SIPA Partners and make changes where appropriate Ensure contract language in Statements of Work align with SIPA’s policies and the underlying contract documents Manage and process inquiries, requests for service, and project paperwork on a continual basis Ensure the SIPA team is following the internal procedures for using Salesforce including preventing and correcting duplicate records Track project and contract status to support other SIPA team members Answer questions, respond to concerns, and facilitate strong working relationships with suppliers, and new and existing customers Process and file contracts and communications in Salesforce Monitor and track project status and customer satisfaction throughout the project lifecycle Other Duties as assigned (15%) Other duties as assigned Assist as needed with SIPA’s Micro-Grant program Assist as needed with SIPA’s User Conference Exemplify the SIPA Culture Internalize and embody SIPA’s vision, mission, goals, and objectives. Required Skills/Experience: Bachelor’s degree in a technical, legal or business-related field or documented experience consisting of serving in previous roles completing many Sales Operations Support duties Highly organized, analytical, and attentive to detail without losing sight of the big picture Ability to thoroughly review and interpret Statements of Work to ensure potential projects align with the SIPA mission and contract policies Excellent time management and prioritization skills, while maintaining a high level of accuracy Ability to problem solve independently and with others, take initiative, and work without supervision Must be adaptable, professional, courteous and motivated, and must work well individually and as a member of a team Excellent interpersonal, written, and verbal communication skills Positive attitude, creative, conscientious, and reliable team member Must be comfortable learning to use and manage new software Desired Skills/Experience (have or develop in the first 90 days): Must develop an understanding of SIPA’s products and services, and have an ability to communicate our value proposition to customers and vendors Proficiency with Google productivity tools such as Gmail, Google Drive, and Google Docs 1+ years of experience in sales preferably in software/technology Proficiency with Salesforce.com CRM. Willing and able to become proficient creating quotes, contacts, opportunities, accounts, contracts, reports, dashboards, and more Salary Range: The anticipated salary range is $60,000 to $75,000 commensurate with skills and experience. Benefits: Health, Dental, PERA Retirement, PERA 401(k), Paid Time Off, Remote/Hybrid Position Type/Expected Hours of Work: This is a full-time exempt professional position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m. Most days can be worked remotely if desired.
