Summary
Ballast Investments (“Ballast” or “The Company”) is seeking an Administrator, Human Resources to support our rapidly growing team. Under the general supervision of the Manager, Human Resources, the Administrator, HR is responsible for executing all activities related to confidential administrative tasks across multiple departments throughout the company on behalf of the HR department. The ideal candidate will demonstrate the ability to multitask while working in a fast-paced, change-oriented environment, and has a proven track record of practicing the utmost discretion. You will be self-motivated, proactive, maintain a strong emphasis on organization and possess an unwavering attention to detail. This is a demanding role that requires someone with excellent judgment, self-discipline, great communication, and the ability to implement effective systems and processes. The Company is a vertically integrated owner-operator of multifamily, student housing, and single family rental assets in the greater Western United States. Primary Responsibilities
- Act as the first point of contact for all employees as well as the external support staff
- Provide follow up and exceptional tracking for necessary HR training companywide, including Workplace Violence Prevention, Harassment Prevention, and Safety trainings, job description updates, mid-year and year-end review facilitation, 60-day check-ins, goal follow ups, etc.
- Execute hiring processes including recruiter engagement, requisition creation and approval facilitation, candidate phone screenings, tracking referrals, and candidate correspondence on behalf of the firm
- Coordinate and process pre-employment steps including background checks, new employment paperwork and other pre-employment requirements
- Arrange and conduct onboarding orientations and action items following new hires first day virtually and in person
- Assist in facilitating offboarding processes for terminated employees, including documentation, system updates, conduct exit interviews, and document storage
- Draft and prepare Resident Manager Agreements for the Legal and HR teams review, execute signatures, document storage, frequent audits that reflect current data
- Conduct frequent audits of systems in place and assist in managing staff whether they are full-time, part-time, outsourced, temp, or consultants
- Maintain entity and organizational documents for multiple entities including tracking version history, key dates for filings, and completing and filing periodic reports
- Prepare HR documents such as employment agreements, authorization forms, compliance audits, etc.
- Support the existing HR team in building out a library of standard operating procedures for the department to utilize in training, which also assists in documentation and consistency interdepartmentally
- Provide direct support to the office manager, HR, Investor Relations, Executive Assistant, and Legal
- Preserve data within HR databases and make updates as needed
- Work on special projects as requested
- Support daily requests/needs to keep the team running smoothly including FedEx drops, notary coordination for the executive team, and employee engagement event facilitation as requested
Minimum Requirements and Qualifications
- High school diploma required
- At least 2 years of experience supporting high level teams in an administrative capacity (legal, property management, HR, etc.)
- Proficiency with Outlook, Microsoft Teams, Excel, and PowerPoint required
- Monday.com, Lattice, ADP platform experience is a plus
- Basic knowledge of HR functions and operations a plus
- Bilingual in Chinese or Spanish is a huge plus
