Job Title: Executive Assistant
Location:
Remote (EST Time Zone)
Salary Range:
up to 3000 USD

Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (EST)

Position Overview:


The Executive Assistant will provide high-level administrative support to the CEO, ensuring efficient workflow and smooth daily operations. The ideal candidate is highly organized, possesses strong communication skills, and is adept at handling multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Calendar & Email Management: Organize schedules, set appointments, and manage correspondence efficiently.
  • Travel Arrangements: Coordinate and book travel itineraries, accommodations, and related logistics.
  • Company Administration & Communications: Support business operations and streamline administrative workflows.
  • Client & Clinical Administration: Handle client-related documentation, scheduling, and record-keeping.
  • Residential & Day Program Administration: Assist in managing daily operations within assigned programs.
  • Property Management: Oversee vendor relationships, billing, and facility-related tasks.
  • Event Planning: Organize internal and external events, ensuring smooth execution.
  • Office Administration: Manage records, reports, and office-related responsibilities to ensure efficiency.


Must-Have Qualifications:

  • At least 3 years of experience as an Executive Assistant supporting C-suite level executives.
  • Proven expertise in calendar and email management, with meticulous attention to detail.
  • Strong ability to take initiative, problem-solve, and improve processes with a results-driven approach.
  • Experience managing billing, invoices, and vendor relations with a focus on cost reduction.
  • Prior experience handling business relationships with insurance, mortgage providers, and government agencies (e.g., secretary of state and county offices).
  • Exceptional organizational skills, capable of managing multiple priorities and meeting deadlines.
  • Strong written and verbal communication skills, ensuring professional interactions with internal and external stakeholders.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), email, and calendar applications.
  • Discretion and confidentiality, with the ability to handle sensitive information securely.
  • Adaptability and flexibility, adjusting to shifting priorities and work demands.


Additional Requirements:

  • A background check, including fingerprinting, will be required upon hire.


Preferred Qualifications:

  • Notary designation is a plus.
  • Prior experience in the nonprofit, healthcare, or public health sectors.
