OVERVIEW

We’re looking for a highly organised, proactive, and adaptable Executive Assistant to support the Founder of the company. This is not a typical EA role – you’ll work as a trusted partner, managing day-to-day priorities, overseeing projects, and ensuring everything runs smoothly so the Founder can focus on strategy and growth.

The Founder operates at a fast pace, constantly moving between priorities and big-picture goals. You’ll need to stay ahead, anticipate needs, and take initiative with minimal direction. If you enjoy problem-solving, thrive in dynamic environments, and like making an impact, this role is perfect for you.

This role is with the hammerjack team, with flexibility required for occasional after-hours or weekend tasks. It’s essential to adapt to shifting priorities and step in when unexpected needs arise.

DUTIES AND RESPONSIBILITIES

  • Organise and Prioritise: Manage the Founder’s schedule, prioritise tasks, and ensure deadlines are met.
  • Support Projects: Assist in planning, tracking, and managing projects to keep everyone aligned and on target.
  • Be the Main Point of Contact: Handle communication, including emails, calls, and meetings, with professionalism and discretion.
  • Improve Efficiency: Develop systems and workflows to streamline the Founder’s day-to-day operations.
  • Provide Personal Support: Coordinate travel, manage personal errands, and balance professional and personal commitments.
  • Stay Versatile: Tackle ad hoc tasks like research, event planning, or liaising with team members and external contacts.

QUALIFICATIONS

  • Experience: Proven background supporting senior executives or Founders, managing competing priorities effectively.
  • Organisation Guru: You excel at creating order, managing details, and ensuring nothing falls through the cracks.
  • Problem Solver: You anticipate challenges, take initiative, and find solutions with minimal guidance.
  • Effective Communicator: You write and speak clearly and can navigate sensitive situations with tact.
  • Tech-Savvy: Proficient in tools like Microsoft Office, Google Workspace, and project management platforms like Asana or Trello.
  • Adaptability: Comfortable working across two locations and stepping up when plans change unexpectedly.
  • Flexibility: Willing and able to support occasional after-hours or weekend needs.
