As Senior Payroll Administrator you’ll be supporting the Payroll Manager in managing the Team in the delivery of the payroll, and reconciling all payroll related payments, as well as providing support to HR on all payroll related queries.

This will help us excel in delivering timeously to the senior management and shareholders of the organisation, to assist with their decision-making processes in driving the business enabling us to stay ahead of the game.

What you’ll be doing

As part of your role, your responsibilities will include:

Monthly Payroll Processing:

  • Manage Payroll Processing folders to ensure no input is missed from the Payroll Mailbox

  • Ensure all relevant supporting documents for Payroll changes are saved

  • Plan monthly payroll processing calendar and work distribution

  • Ensure all cut-off dates and deadline are adhered to

  • Distribute monthly payroll input between administrators

  • Review payroll input on Payspace

  • Ensure input agrees to Documentation supplied by HR

  • Ensure any errors are corrected, escalate any potential challenges to Payroll Manager

  • Perform a detailed variance analysis in the Company Variance Review file

  • Monitor Workday/ Space Integration Changes Check errors and escalate to HRIS

  • Check completeness of Payroll Changes Processed on Payspace based on the Payroll Master   Data Changes Log and Payroll Change Sheet/Workday Dashboard

  • Prepare IPE’s for HtR Payroll Controls

  • Ensure that monthly payslips are accurate

  • Prepare Net Pay ACB file for upload to Standard Bank Business Online

  • Ensure timeous disbursement of employee salaries on 25th of the month

  • Maintain Payroll Review Folders and prepare for Management Sign off

  • Check preparation of Payroll Review files for Payroll Manager Review

  • Check preparation of sign off reports for Payroll Manager Review

  • Prepare IPE Files for review by Payroll Manager

  • Leave Balance imports to Payspace monthly for leave Provisions

  • Prepare IPE for SOX Compliance and perform reviews according to RACMs for HTR

  • Reconcile Billings for Medical Aids, Retirement Annuities, Group Life,Pensions,Gap Cover-online updates and submissions

  • Ensure monthly UIF declarations are successfully submitted to Dept of Labour

  • Prepare SARS EMP201 for submission and payment on efiling

  • Prepare annual and bi-annual EMP501 Reconcilliations on SARS e@syfile

  • Complete Tax Year End process -distribution of IRP5 certificates

Payments – Weekly and Monthly

  • Prepare own and review 3rd Party Payments prepared by Payroll Administrators

  • Review Weekly HR Creditors payments before payment is made for all entities

  • Ensure all relevant supporting documents are saved and signed

  • Request Funding in time for Payment release

  • Review and ensure SARS, PAYE,UIF,Skills Payment is on time to avoid penalties

  • Check Floqast – complete checklist

Journals and Reconciliations

  • Export Payroll Journal

  • Prepare and post month-end 3rd party payment journal

  • Update leave balances on Payspace

  • Prepare Leave movement report and post Leave Provision journal

  • Prepare and post Exec Re-allocation journal

  • Prepare and post Exec variable rate accrual journal

  • Prepare and post WCC journal

  • Complete Month-end Check List on Floqast

Statutory Submissions and Reporting

  • Timely completion of all Statutory submissions on E-filing

  • SARS bi-annual submissions EMP501 Reconciliation

  • Timely completion of the following reports for salary sign off and electronic filing

  • Pay Register Report (summary of Payroll Changes)

  • Company Variance Report

  • Salary Summary Report (Company Totals)

  • Net Pay Listing

  • Bank Audit Reports

  • Headcount Recon

  • Staff Lists

  • Leave Balance reports (Leave Provision & Termination pay-outs)

Audits

  • Assist with the preparation of the quarterly and annual audit files.

  • Effectively communicate with auditors to ensure all audit queries are adequately resolved.

  • Ensure all Internal and external audit deliverables are met  for SOX Compliance

  • Review all IPE documents are sign and saved correctly

Team Leadership

  • Effectively work as a team with relevant client treasury accountant and reconciliation specialist

  • Guide, coach and assist Payroll Administrators  with payroll processing & technical payroll issues

  • Effectively communicate to Payroll Manager and team members to ensure key deliverables are met on time and potential problems escalated

  • Communicates clearly and effectively at all levels; both internally and externally;

  • Effectively feed information to required members of the team to ensure all important updates are shared appropriately;

  • Manage others expectations appropriately and proactively communicate any potential problems

Process Improvement

  • Draft process notes detailing how and why monthly tasks are performed to ensure business continuity

  • Actively drive new projects for Payroll/H/ Finance monthly and project basis

  • Reporting as and when required extracts from Payspace/Workday/Other payroll systems

  • Actively support the Payroll Manager and team by overseeing the processing of all payroll Local and International service delivery

  • Support Payroll Specialist with Payroll Projects as and when required e.g. Cost of Employment, Leave Liability,  Shared Services payroll analysis etc.

Projects

  • Actively support team with new projects e.g. Cost of Employment TCOE Mapping to Workday

  • Actively work and support team with payroll Migration to Celergo for foreign payrolls

  • Actively work and support team with take on of new payrolls

Areas of responsibility

  • This position requires the incumbent to have a high-level overview on the entire payroll process for all Spin entities in support of the Payroll Manager

  • Relevant payroll qualification (e.g. National Diploma in Payroll Administration) and/or membership of SAPA (South African Payroll Association)

  • Fully functional knowledge and experience on Payspace

  • Knowledge of relevant labour legislation affecting HR administration (Taxation, BCEA, LRA & SDA)

  • Knowledge of remuneration practices, compliance, and optimal salary structuring

  • Minimum 3 - 5 years’ experience in a similar role

  • Minimum 1 – 2 years Accounting experience

  • Proficient in Advanced Microsoft Excel

Desirable skills you’ve got up your sleeve

It would be great if you also have some of the following skills:

  • In-depth knowledge of sports betting markets, including odds calculation, betting types and market trends

  • Previous experience in the online gaming or casino industry, with a strong understanding of player behaviour and industry regulations

  • Familiarity with gambling regulations and compliance requirements in various jurisdictions, ensuring adherence to legal standards

  • Experience in developing and executing customer retention strategies

  • Experience with Navision

  • Experience in processing Payroll in foreign currencies

  • Bookkeeping diploma/certification is advantages
