Job description

The Payroll Supervisor is responsible for the supervision and coordination of payroll processing operations within United States and Canada. Ensures accurate calculation of wages and processing of tax withholding and company deductions. Prepares statistical reports on employee pay, commissions and bonuses; vacation, sick, disability and workers compensation leave; taxes, withholding, and garnishments. Oversee the distribution of paychecks and direct deposit programs. Provides training to team on policies, regulations, and processes. Additionally, the Payroll Supervisor assists with resolving errors or responding to inquiries. Supervises the Payroll Specialist and oversees the organization's payroll function.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

The job functions include, but are not limited to, the following:

Payroll Processing: Ensure accurate and timely pay processing for all employees by verifying proper deductions and calculations. This includes processing employee compensation and ensuring all employees receive payment through their designated payment method.

Record Keeping: Maintain accurate records of employee attendance, hours worked, and absences. Record all payments in accessible databases and create written reports on a monthly basis. Manage and maintain all payroll record per retention guidelines. Continuously maintain payroll guidelines through updating policies and procedures.

Compliance and Reporting: Manage quarterly and year-end tax reporting, including W-2s and W-2Cs, 940 941s, T4, and GST/HST, ensuring compliance with country, federal state, and province regulations. Work with key stakeholders to ensure all imputed income is captured and appropriately reported. Manage the annual 401k audit process. Prepare and submit reports on payroll operations and compliance. Ensure confidentiality and security of payroll information. Complying with country, federal, state, province, and local legal requirements by proactively studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.

Process Efficiency: Implement and maintain payroll best practices to improve efficiency, including leveraging the payroll processing technology to introduce workflows and eliminate manual or offline processes. Update payroll processes and procedures in collaboration with Accounting and People & Culture teams.

General Ledger Management: Prepare the payroll general ledger posting, ensuring proper coding of all transactions in compliance with the firm’s business rules.

Payroll Reconciliation: Evaluate each payroll and prior to processing to identify discrepancies and rectify errors before posting the payroll. Post payroll processing, reconcile posted payroll and resolve discrepancies or errors.

Team Management: Supervise payroll staff, providing guidance and support to ensure efficient payroll operations. This includes training new employees and managing performance.

QUALIFICATIONS AND EDUCATION

The ideal candidate has a strong background in payroll administration, excellent attention to detail, and a deep understanding of payroll tax laws and regulations.

  • Proven recent and relevant work experience as a Payroll Supervisor or similar Accounting or Finance role with Payroll processing responsibilities.
  • Strong knowledge of full-cycle payroll processing within the U.S. and Canada
  • Proficiency in Microsoft Excel is essential, experience processing payroll via Paylocity is desired
  • Certified Payroll Professional (CPP) Certification is preferred
  • BSc/BA in business, accounting or relevant field is desired
