Job description

The marketing team plays a critical role in driving brand visibility, customer acquisition, and engagement through innovative strategies. We’re looking for an experienced Event Manager to join our team and lead the execution of impactful events that strengthen our presence in the market.

As the Event Manager, you’ll oversee the end-to-end planning and execution of events, including large-scale exhibitions, sponsor-led small events with one-to-one meeting formats, webinars and Omilia led events. You will ensure seamless logistics, manage vendor relationships, and deliver measurable results. This role is pivotal in aligning our event strategy with marketing and sales objectives, leveraging CRM and analytics tools to track and optimize performance.

Key Responsibilities

Event Planning & Execution:

  • Research and identify relevant industry events that align with Omilia’s mission and offerings.
  • Manage the company’s presence at large exhibitions, including working with our in-house team on booth design, branding, digital promotion, and on-site coordination.
  • Organize small, high-touch sponsor-led events that focus on one-to-one meetings with prospects and clients.
  • Plan and host webinars to engage target audiences and support lead-generation efforts.

Logistics Management:

  • Coordinate all event logistics, including venue selection, webinar platform management, staffing, liaison with event organizers, and shipping of materials.
  • Ensure adherence to tight timeframes and critical deadlines and completion of event preparation tasks, delivery of marketing collateral, and promotional items, to ensure successful event setup.
  • Create staff briefing presentations and deliver briefings to marketing and sales teams to ensure they are fully aware of event objectives, logistics, requirements, and responsibilities.
  • Coordinate with speakers and panelists, ensuring they are prepped and supported.

Supplier & Vendor Management:

  • Negotiate with suppliers, vendors, and event organizers to maximize value and control costs.
  • Maintain strong relationships with external partners to ensure high-quality service delivery.

Lead Management:

  • Work closely with the marketing and sales teams to align event objectives with lead generation goals.
  • Ensure leads from events are accurately captured, segmented, and handed off for follow-up using CRM tools.

Performance Reporting & Analytics:

  • Track the progress of leads with marketing management and sales to monitor follow-up actions and conversion.
  • Track event ROI by analyzing attendee engagement, lead quality, and sales pipeline impact.
  • Generate and manage detailed reports and dashboards to evaluate the success of each event and identify areas for improvement.

Budget Management:

  • Manage event budgets, track expenses, and ensure alignment with overall marketing spend.

Requirements

  • 5+ years of experience in managing events preferably within a SaaS, B2B technology, or Conversational AI company.
  • Experience of managing events in the US.
  • Proven experience managing events in a SaaS, tech, or B2B marketing environment.
  • Strong organizational skills with a track record of delivering events on time and within budget.
  • Hands-on experience with CRM systems (e.g., Salesforce, Pardot, HubSpot).
  • Excellent communication and negotiation skills for managing suppliers and stakeholders.
  • Ability to multitask, prioritize, and maintain attention to detail in a fast-paced environment.
  • Familiarity with webinar platforms (e.g., Zoom) and virtual event technologies.
  • Willingness to travel for on-site event management as needed.

    Nice-to-Have
  • Experience in experiential marketing or designing creative booth experiences.
  • Knowledge of lead-scoring methodologies and marketing automation tools.
  • A passion for data-driven decision-making and continuous improvement.
