Job Description

Serve as the primary point of contact at the district’s central office. Provide professional reception, administrative support, and communication services to ensure smooth, courteous, and efficient operations. Facilitate information flow to staff, visitors, and the public while maintaining confidentiality and a welcoming office environment.

Key Responsibilities
Reception and Communication

  • Greet and assist visitors, students, and staff courteously; direct them to appropriate personnel or departments.
  • Maintain a professional atmosphere in the reception area.
  • Answer and route incoming calls, take and transmit accurate messages.
  • Provide general information about district procedures, including transfers, school boundaries, and events.
  • Maintain confidentiality of all office communications and documentation.

Clerical and Administrative Support

  • Assist with preparing, formatting, and distributing agendas, reports, correspondence, and directories.
  • Maintain records, files, and various district-wide calendars (e.g., meeting room use, master calendar).
  • Schedule and manage reservations for meeting rooms and spaces using designated software (e.g., Eduphoria).
  • Compile, update, and display meeting schedules on internal monitors or digital signage.
  • Provide clerical support for special projects, including typing, copying, and assembling materials.

Office Management

  • Receive, sort, meter, and distribute incoming and outgoing mail, faxes, and deliveries.
  • Track and distribute job postings, applications, and paychecks.
  • Process requisitions for supplies; verify and distribute incoming orders; maintain supply inventory.
  • Support recruitment and volunteer coordination processes (e.g., tracking observations, managing forms).
  • Assist other departments as needed and train substitutes in basic procedures when assigned.

Qualifications

Education: Associate’s degree preferred.

License: Valid driver’s license required.

Experience: Minimum of 2 years of clerical or customer service experience in an office environment.

  • Must pass state and federal background checks, including fingerprinting and child maltreatment registry checks.
  • Ongoing participation in professional development activities as required by ADE.
  • Proficient in keyboarding and office software, including Google Workspace.
  • Strong proofreading and basic document formatting skills.
  • Effective communication, organization, and interpersonal skills.
  • Ability to handle confidential information with integrity.
  • Ability to follow oral and written instructions.
  • Familiarity with filing systems, calendar scheduling, and records maintenance.
  • Knowledge of standard office equipment and multi-line phone systems.
  • Ability to multitask and work effectively with frequent interruptions.
  • Understanding applicable district policies, postal regulations, and health and safety guidelines.
  • Sit or stand for extended periods; occasional lifting up to 25 pounds

Additional Information

Compensation

District Receptionist wages will be based on individual experience and within the SY 2025-26 Salary Schedule range.
