Client Program Ownership (30%)
Serve as the main point of contact for assigned client programs.
Recommend destination and supplier options based on client goals.
Negotiate pricing and contract terms with venues and suppliers.
Build preliminary budgets and ensure accurate forecasting.
Communicate key program information to internal teams and external suppliers.
Maintain program records and financial data in the business management system.
Monitor currency fluctuations that may impact budgets.
Strategic Sourcing & Process Management (25%)
Conduct client intake and qualification calls to define program requirements.
Initiate and manage the RFP process to secure room blocks and event services.
Review supplier contracts to ensure favorable terms and risk mitigation.
Ensure all documentation is complete, accurate, and aligned with Maritz and client standards.
Follow standard operating procedures and sourcing tools to maintain consistency and efficiency.
Leadership & Client Relationship Management (25%)
Act as the day-to-day client contact for sourcing-related needs.
Lead status meetings and keep clients informed on program progress.
Advise clients on preferred hotel partnerships and negotiation strategies.
Provide guidance and mentorship to Sourcing Managers and Coordinators.
Promote a positive team culture and share sourcing expertise across the team.
Additional Responsibilities (20%)
Support site inspections and program operations through occasional travel.
Participate in special projects as assigned by leadership.
Maintain awareness of industry trends and apply best practices.
Act as a leader during emergency situations, ensuring client and participant safety.
Qualifications:
5+ years of experience in project, event, or meeting management, with at least 4 years focused on procurement or sourcing.
Strong negotiation skills and extensive knowledge of domestic destinations; international destination knowledge is a plus.
Familiarity with travel supplier operations and a wide range of service offerings.
Experience using program management systems and online sourcing tools preferred.
Hospitality operations experience is a plus.
Proven ability to build and maintain strong client and supplier relationships.
Solid understanding of event/program management, including budgeting and financial tracking.
Strong analytical skills and comfort with technology and software tools.
Leadership and mentoring experience is a plus.
CMP (Certified Meeting Professional) designation is a plus.
College degree preferred.
