Join our Immigration department as a Immigration Administrative Specialist located in our Warsaw Center of Excellence office (remote).
Position Summary:
This position will provide direct support to our paralegals and case coordinators. Highly collaborative group working closely together in a fast-paced environment to prepare a high volume of business immigration applications. Candidates should also be flexible to work overtime as needed.
Key Responsibilities :
• Assists with preparing petitions/applications for various immigrant visas (PERM, I-140, CP, AOS, Naturalization, etc.) and non-immigrant visas (H-1B, L, E-1/2, TN, O-1, J)
• Processes I-485 (AOS- Adjustment of Status); submits applications for (I-765) employment authorization document; travel document, replacement I-94 and I-90
• Prepares immigration filings/client correspondence including Premium Processing upgrades and I-131 (AP – Advance Parole/Travel Document)
• Assists with applications, rescheduling requests, reentry permit applications, and client Visa approval packages
• Notifies clients of receipt notices and any scheduling notices (fingerprints, interviews, etc.)
• Follows up with attorneys, paralegals, and/or clients and foreign nationals regarding case filings, as well as completed questionnaires and missing documents
• Processes incoming and outgoing correspondences, including preparing UPS mailing envelopes
• Maintains client files, including editing letters and forms
• Assists with data and time entries requests
• Updates information and uploading documents into an immigration case management system
• Requests checks and processes invoices
• Calls USCIS and DOS as requested
• Manages various administrative duties including maintaining INSZoom case management and FileSite document management databases
• Assists with light junior paralegal work when needed

Qualifications & Prior Experience
• Bachelor’s degree or equivalent experience is preferred
• Minimum of 6 months to a two years experience in law firm/professional services office environment and administrative experience supporting multiple people in a fast-paced, deadline driven environment
• Prior immigration experience and/or law firm experience is a plus
• Computer proficiency in Windows-based software and Microsoft Office Suite applications, including Word, PowerPoint, Excel and Outlook
• Experience with case management systems such as INSZoom is preferred
