Role: Administrative & Operations Coordinator

Compensation: Competitive Basic Salary

Work Schedule: 5-day work week, 8:00 pm to 5:00 am Philippine Time

Work Setup: Work from Home


Our client is looking for a reliable and detail-oriented Administrative & Operations Coordinator to support their team remotely from outside the U.S. 

This role includes general admin work, calendar and travel coordination, basic finance tasks, and client communication. You'll be working closely with U.S.-based team members, so strong English and independent work habits are a must.


Job Duties and Responsibilities: 

  • Manage scheduling and calendar coordination across U.S. time zones
  • Help prepare client materials, reports, and internal docs
  • Support basic finance tasks (invoicing, reconciliation, AP/AR via QuickBooks Online)
  • Assist with travel booking and logistics
  • Handle emails and communications, including client follow-ups
  • Keep files organized and up to date via SharePoint
  • Take accurate notes using AI tools or transcription apps


Job Qualifications: 

  • Excellent English (written and spoken, C1/C2 level)
  • Experience working in a remote, client-facing role
  • Strong organizational skills and attention to detail
  • Able to work independently and manage time well
  • Typing speed of at least 50 WPM with accuracy
  • Reliable, responsive, and professional in communication

Nice-to-Haves:

  • Familiarity with compliance, legal, or finance industry
  • Experience handling confidential/sensitive data
  • Past experience supporting U.S.-based executives

Familiarity with the following tools and software:

  • Microsoft Office (Word, Excel, Outlook)
  • Microsoft Teams & SharePoint
  • QuickBooks Online
  • Transcription/note-taking tools like Copilot
  • Comfortable learning new tools and workflows
