Job Summary:
Salute has an immediate opening for a Payroll Manager to support the Americas Region. Candidates must have the ability to work effectively in a leadership position with strong time management and organizational skills. Must be well versed with Americas region payroll practices and procedures. Experience with payroll compliance with country, federal, state/province and local legal and tax requirements. Proven ability in managing a remote payroll team and establishing meaningful department goals and metrics. Ability to exercise excellent judgment and confidentiality with personal employee information and resolve payroll issues with a sense of urgency and professionalism. Must have a strong internal customer focus with a sense of ownership over the Americas payroll cycle.
Payroll Manager Responsibilities:
· Manage Americas region payroll team and oversight of payroll operations to ensure accurate and timely payroll to employees.
· Establish and monitor key payroll KPI’s.
· Develop and implement standard Americas region payroll policies and procedures where appropriate.
· Ensure all required country reporting and payroll tax filings are done timely and accurately.
· Ensure payroll operations are performed in compliance with company policies, country, state/province, and local laws.
· Responsible for the Americas region team's accurate and timely payrolls are in compliance with local tax and labor regulations, including supplemental or non-recurring pay runs, and ensuring timely tax deposits.
· Manage monthly payroll close and prepare for management reporting.
· Perform analytical reviews of payroll information to ensure accuracy, including but not limited to bi-weekly payroll, PTO (bereavement leave, vacation/holiday, sick time, etc).
· Provide hands-on support for all payroll reconciliations in support of payroll processing and month-end close activities.
· Review all US Quarterly and Annual Tax filings, including Forms W-2, addressing any exceptions and errors prior to finalization with ADP.
· Prepare for and manage payroll related audits (workers compensation, 401K, etc).
· Verify that all garnishments and levies are completed in accordance with the law.
· Stay abreast of payroll legislations impacting Salute for Americas region.
· Coordinate with appropriate internal and external parties to ensure compliance.
· Develop and maintain in-depth understanding of payroll requirements unique to Americas region to support compliance and serve as a resource to other Salute internal departments.
· Vigorously safeguard all employee and payroll confidential information.
· Support external audit requests and other tasks as assigned.
· Maintain business continuity plan for payroll team to ensure full coverage and back up at all times.
Payroll Systems:
· Lead the Canada payroll implementation process for the selected ADP system and potential in South America.
· Verify country, state/province and local tax information is set up correctly in payroll system and maintained.
· Serve as SME (Subject Matter Expert) for Americas region Payroll.
· Oversee the efficiency and management of the Payroll Ticketing System.
Policies, Procedures, and Internal Controls:
· Partner with HR to implement, document, and maintain adequate and effective workflows to improve the payroll cycle, including new hires, terminations, time off, etc. driving toward implementation of best practices and business process improvements to define SOP.
· Support the organization’s internal control compliance through adherence to key policies and procedures and timely completion of reporting.
Team and Project Management:
· Manage, motivate, and develop the Payroll team. Partner with Finance to design and maintain an organizational structure appropriate for supporting Salute’s Global current and future business needs.
· Effectively perform team management and administrative duties including training/mentoring/ coaching via 1:1 meetings, etc.
· Work with team members to develop individual progression plans.
· Promote a positive global team culture and implement remote team building activities to engage, motivate and inspire.
· Conduct individual performance reviews according to company policy.
· Perform special projects and analyses as assigned.
Education and Experience:
· Bachelor’s Degree or higher in accounting, finance a related business field of study.
· Certified Payroll Professional (“CPP”) Designation is desirable.
· 5+ years of effective management experience overseeing a team and Payroll functions in Americas region.
· Exposure to international operations and pay compliance a plus.
· Experience participating in system evaluation and implementation.
· Proven ability to develop and sustain a department that is flexible to meet the changing needs of the company.
· Extensive experience managing a team in a dynamic mid to large company.
· Working in global company that is PE backed a plus.
Required Skills:
· Must be proficient in ADP WFN (Team Pay a plus) along with MS Office suite.
· Demonstrated effective written, verbal, and interpersonal communication skills at all levels of the organization.
