Job Title: Executive Sales Assistant to CEO
Location:
Remote (EST Time Zone)
Salary Range:
up to 1000 USD

Work Schedule:
Monday - Friday, 9:00 AM to 6:00 PM (EST)

About the Company:

Position Overview:

We are seeking an Executive Sales Assistant to support our CEO with day-to-day sales coordination, lead tracking, scheduling, and client communication. You will play a central role in helping the CEO stay organized and responsive by managing follow-ups, ensuring CRM accuracy, and serving as a key point of contact for prospects and business partners.

Key Responsibilities:

  • Respond to new leads promptly (within 4 hours when possible).
  • Input, organize, and track lead activity in the CRM.
  • Schedule appointments for the CEO and clients; send confirmations and reminders.
  • Attend selected meetings with the CEO to capture notes and assist with follow-ups.
  • Maintain an accurate, up-to-date contact and client database.
  • Answer incoming calls and manage the CEOs calendar daily.
  • Review the next days schedule and prep materials as needed.
  • Manage the CEOs inbox: flag key messages, draft replies, and ensure timely communication.
  • Help keep the CEO on track throughout the day with ongoing tasks and appointments.


Qualifications:

  • Fluent English communication skills (spoken and written).
  • Prior experience supporting executives, preferably in a remote capacity.
  • Strong organizational skills and attention to detail.
  • Familiarity with CRM systems and online scheduling tools.
  • Ability to adapt quickly and multitask in a fast-moving environment.
  • Able to consistently work EST hours.
  • Occasional travel to Brooklyn, NY may be requested.


Nice-to-Haves:

  • Experience in the mortgage or financial services industry.
  • Previous experience in an executive assistant or similar role.
