DUTIES AND RESPONSIBILITIES | About the role

We are seeking a dedicated and detail-oriented Sales Operations Administrator with 2-3 years of administrative experience to join our remote hub team.

The successful candidate will be responsible for ensuring the smooth operation of sales processes for NEXTGEN oSpace Pty Ltd.

The focus will be on monitoring and maintaining systems like Accelo and HubSpot, data accuracy, and supporting sales operations activities for the Australian team.

Reporting to the Australian based, Sales Operations Manager for oSpace, this role requires a candidate who is comfortable working remotely during Australian business hours and can take ownership of tasks with minimal supervision, ensuring tasks are completed accurately and efficiently.

As the Sales Operations Administrator, you will:

  • Daily Accelo Hours Checks
  • Ensure LDR hours are logged correctly in Accelo and follow up on any discrepancies.
  • Download and check the daily hours file for reporting purposes, with an aim to automate the process while ensuring quality control.
  • Update and maintain the LDR Performance Reports (recently automated).
  • Weekly/Monthly Accelo Program Checks
  • Review program statuses, including milestone and task progress.
  • Regularly verify program dates and ensure proper alignment with milestones.
  • Close off current monthly tasks and initiate the subsequent month's tasks.
  • Conduct data accuracy checks between OP and Accelo, flagging issues to be corrected by SOM or Account Managers.
  • Accelo Housekeeping
  • Edit and maintain program and milestone templates as needed.
  • Review and manage licenses and user accounts in the Accelo system.
  • Assist with the editing of proposal and quote templates as required by the team
  • Basic HubSpot Lead Tracking
  • Ensure accurate and consistent data entry into HubSpot, ensuring all fields are correctly filled and formatted.
  • Maintain and update the Leads Register, ensuring any additional leads are checked and entered.
  • Monitor lead processing from LDRs to AMs to NGD, ensuring smooth transitions and flagging issues for correction when necessary.
  • General Administrative Support
  • Organize and maintain SharePoint folders and other documentation.
  • Perform data entry as needed in HubSpot, Accelo, or other project management tools.
  • Support the team with additional ad-hoc administrative tasks as they arise.
  • HubSpot LDR Task Management
  • Identify weekly task priorities for LDRs, based on activity type and timelines.
  • Brief LDRs on task priorities with approval from the SOM (Sales Operations Manager).
  • Update the SOM regularly on task progress and status to ensure smooth workflow.


QUALIFICATIONS AND EXPERIENCE | About you

The ideal Sales Operations Administrator :

  • 2-3 years of administrative experience, preferably in a sales operations or support role.
  • Proficiency with Accelo and HubSpot (or similar CRM and project management tools) is a strong advantage.
  • Strong attention to detail, with the ability to manage and maintain accurate data across multiple platforms.
  • Ability to work independently and take ownership of tasks in a fast-paced, remote environment.
  • Strong communication skills, with the ability to report to the Australian team and effectively manage cross-team collaboration.
  • Familiarity with basic sales operations processes, such as lead tracking, program management, and task prioritization.
  • A problem-solving mindset to flag and resolve issues proactively.
