This is a remote position.
We are seeking a highly organised, reliable, tech savvy and proactive Virtual Executive Assistant (V EA) to support a dynamic and entrepreneurial individual across key business, advisory, and personal operations. This opportunity requires 10-20 hours per week working as an Independent Contractor for a 3-month period and once settled in this has the potential to move to full-time position.
The ideal candidate must have a relevant professional degree and willing to leverage their expertise in utilising and optimising AI tools to streamline and enhance workflow efficiency.
Responsibilities:
Business & Advisory Support:
CRM & Lead Management: Ensure CRM is up-to-date, track follow-ups, and maintain accurate client records.
Meeting Coordination: Schedule calls, prepare agendas, and track action points.
Research & Summarisation: Conduct market research, generate reports, and distill insights.
Email & Calendar Management: Prioritise and manage emails, streamline scheduling, and organise daily workflows.
Event & Travel Planning: Arrange flights, hotels, and conference schedules.
Content & Knowledge Management:
Blog Post Assistance (Substack): Help structure and format blog posts, conduct research, and draft outlines.
Podcast/Video Transcription & Notes: Transform recordings into concise, actionable summaries.
Knowledge Repository Management: Organise notes, frameworks, and insights within Notion or Google Drive.
Family Office & Personal Operations Support:
Receipts Collection & Expense Management: Track receipts, invoices, and manage expense logs.
Property & Asset Management: Liaise with service providers and manage property-related administration.
Travel Coordination: Organise both personal and business travel logistics.
Supplier & Legal Coordination: Manage relationships with tax advisors, lawyers, and key service providers.
Gift & Event Planning: Source unique gifts and assist in organising personal events.
Requirements
Grade 12 or similar schooling completed.
Relevent Degree i.e.
BCom, BEng, MSc
Experience: 5+ years in executive roles, supporting founders, startups, or senior executives.
Tech-Savvy: Proficiency with tools like Google Workspace, Slack, Notion, Trello/Asana, and CRM platforms.
Excellent English Communication: Strong written and verbal communication skills.
Proactive & Detail-Oriented: Anticipates needs, takes initiative, and works efficiently.
Time Zone Flexibility: Availability for some overlap with CET & South African time zones.
Tools to be used: Google Drive: Docs, Sheets, Notion, Asana, Trello, WhatsApp / Slack / Loom, ChatGPT & AI Tools
