This is a remote position.

Schedule:

  • 38 hours per week
  • Monday to Thursday; 8am to 5pm (includes 1 hour unpaid break) Eastern Time
  • Friday; 9am to 3pm (includes 30 minutes paid break) Eastern Time

Job Description

As Executive Assistant to the founder, you’ll serve as the crucial right hand to a creative entrepreneur who’s building multiple successful businesses in the wellness industry. This dynamic role offers incredible variety - one day you might be helping prepare for a major investor pitch, the next you could be streamlining systems to help yoga studios receive marketing materials, or transforming inspired ideas into actionable projects. You’ll be the essential link that helps turn vision into reality, managing the day-to-day operations that keep these growing companies running smoothly. Responsibilities
  • Shadow the founder during strategic work sessions to identify opportunities for automation and create efficient workflows in Asana
  • Transform dictated ideas, sales promotions, and emails into well-structured tasks, projects, and documents
  • Proactively review emails and project management systems to ensure timely responses and highlight urgent matters
  • Convert creative whiteboard concepts into organized, actionable documents
  • Process yoga class transcripts through AI tools to craft engaging newsletter drafts
  • Prepare and update presentation slide decks for pitch meetings using Canva
  • Manage critical repetitive tasks such as adding studio partner addresses to the USPS system
  • Assist with travel planning and logistics for teaching engagements and business trips
  • Help organize and prioritize tasks across multiple business ventures
  • Ensure the founder’s workflow remains efficient by anticipating needs and removing obstacles
Requirements
  • 3+ years of Executive Assistant experience (or similar) with a strong background in project management tools, particularly Asana
  • Proficiency with ActiveCampaign or similar email marketing platforms
  • Excellent skills with Google Suite and presentation software like Canva
  • Ability to work Eastern Time zone hours
  • Experience with the Mac/Apple ecosystem
  • Exceptional organizational abilities and attention to detail
  • Outstanding written and verbal communication skills
  • Self-motivated with the ability to anticipate needs and take initiative
  • Comfort with learning and adapting to multiple software platforms
  • Background or interest in yoga, meditation, or the health/wellness industry preferred
  • Ability to thrive in a dynamic environment supporting multiple business ventures simultaneously
  • Creative problem-solving skills and a proactive approach to challenges

Tech Forward: If you aren't using AI everyday then you are gonna be too slow. You know how to look for and use technology to automate processes.

Expertise: You are either already an expert in your field or you are spending your free time listening to podcasts, reading blogs, and taking courses to be better at what you do. If you don't have a desire to do what you are doing at a high level then you should follow your passions into another job.
