Job description

This is a remote position.

A well-established strategic learning and change management consultancy is seeking a proactive and detail-oriented part-time Executive Assistant to play a key role in shaping and pioneering a new Executive Support Assistant position within the organisation. This is a fully remote, independent contracting position with assistance required for approximately one to two months, on a flexible basis. The client is looking for the right person for the role and is willing to accommodate their availability to ensure a good fit.

This role is designed to help establish the full-time Executive Support Assistant role profile and workload. You will play a key role in shaping the future of this position while directly assisting senior management. The ideal candidate will thrive in a dynamic, fast-paced environment and take a hands-on approach to ensure the Operations Manager and MD can focus on their core tasks and strategic goals.



Key Responsibilities:
  • Provide high-level administrative support to the Operations Manager and MD, ensuring their day-to-day needs are efficiently met.
  • Assist in defining the scope, profile, and key responsibilities of the role, collaborating with leadership to refine role expectations.
  • Manage calendars, coordinate meetings, and ensure appointments are effectively prioritised and organised.
  • Communicate between internal teams, external partners, and stakeholders to ensure smooth operations.
  • Assist in preparing reports, presentations, and documents for meetings.
  • Track action items from meetings, ensuring deadlines are met, and follow-ups are completed.
  • Proactively resolve administrative and operational issues as they arise.
  • Support project management using CRM tools such as Trello, HubSpot, or similar systems.
  • Handle sensitive and confidential information with discretion.
  • Anticipate the needs of the MD and Operations Manager to ensure smooth daily operations.



Requirements
Key Skills & Experience:
  • Proven experience in an Executive Assistant or similar PA/operational support role.
  • Strong proficiency in MS Office 365 (Outlook, Word, Excel, PowerPoint).
  • Familiarity with CRM tools such as Trello, HubSpot, or similar systems.
  • Strong organisational skills with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Ability to work independently, manage time efficiently, and take initiative.
  • Experience in supporting senior executives is highly advantageous.
  • Strong problem-solving skills and the ability to adapt to evolving priorities.
