Work Set-up: Work from Home
Schedule: 9:00 AM – 5:30 PM AU Time or 6am to 2:30pm Phil time
Salary: 30 to 40k

JOB DESCRIPTION FOR AN OFFICE/ ADMIN ASSISTANT

Your Responsibilities as an Office/ Admin Assistant would be:

• Key Responsibilities and role attributes: Provide support to the Case Managers and Migration Agents in preparing and drafting:
• Job Descriptions: Create and prepare job descriptions, experience letter templates according to chosen skilled occupation for clients, resume updates, visit visa invitation letters, etc, to support visa applications.
• Position Statements: Create and prepare position descriptions and genuine position statements to support employer-sponsored case applications.
• Case Summaries: Draft clear and concise summaries of cases for submission to case officers, ensuring accuracy and compliance with migration requirements.
• Visa Applications: Assist in the preparation and drafting of visa applications, ensuring all necessary documents are gathered and completed correctly.
• Document Uploads: Manage and upload required documents into relevant systems, maintaining organized records for each application.
• Payment Consolidation: Track and consolidate client payments, ensuring accurate financial documentation.
• Application & File Scheduling: Maintain and update application trackers, ensuring all files are scheduled and processed on time.
• Deadline Management: Monitor and ensure deadlines are met for all applications and follow-ups, avoiding any delays in processing.
• Client Follow-ups: Proactively chase up clients for outstanding payments and missing documentation, ensuring smooth application progress.
• Pipeline Management: Maintain an organized pipeline of ongoing applications, tracking each stage since receiving initial payments, document gathering and keeping stakeholders informed.


• Prospect Management: Maintain an organized pipeline of prospects, follow up and covert to successful clients.


Qualifications as Office/ Admin Assistant:

• Bachelor's degree in Business Administration or a related field (preferred but not required).
• Prior experience in in migration services, legal, or consultancy fields preferably.
• Strong attention to detail and organizational skills to manage multiple tasks effectively.
• Excellent written and verbal communication skills for drafting professional documents.
• Proficiency in Microsoft Office, Google Suite, and document management systems.
• Ability to work independently while ensuring high levels of accuracy and compliance.
• Strong time management skills, with the ability to meet strict deadlines.
• Experience in handling confidential information with professionalism and discretion.
• Knowledge of Australia visa application processes or migration services is a plus.
