Work Conditions

  • Your workstation is set up in a safe and secure location at home with stable and reliable internet, not less than 25 Mbps (constant).
  • 4M COP - 5.5M COP per month.
  • 9:00 AM to 6:30 PM COT, Monday to Friday (Aligned with EDT time).
  • Resting during Colombian Holidays.

About the Role

The Operations Associate & Project Manager will report to the Marketing Director, based in New York. This role is essential in ensuring smooth operations, overseeing logistics, and keeping projects on track across multiple departments. Acting as the central communication hub, you will coordinate shipments, track key deadlines, and support business expansion efforts. This is a dynamic position where organization, problem-solving, and proactive follow-through are key to success.


Key Responsibilities

  • Project Coordination: Oversee timelines, track project progress, and ensure deadlines are met across departments.
  • Internal Communication: Act as the central point of contact, keeping all stakeholders informed and ensuring seamless workflow.
  • Process Optimization: Identify inefficiencies and implement improvements to streamline operations.
  • Supplier & Vendor Coordination: Communicate with suppliers to ensure timely deliveries and compliance with requirements.
  • Compliance & Documentation: Maintain accurate records, update tracking systems, and ensure adherence to industry regulations.
  • Logistics Coordination: Manage shipments, sample tracking, and ensure proper documentation for international and domestic logistics.
  • Business Expansion Support: Assist in research and planning for international growth, including compliance and logistics strategies.


Experience & Software

  • 2+ years of experience in process follow-up, project coordination, and team alignment, ideally within an international business environment.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong ability to track and ensure the progress of multiple projects, ensuring deadlines and objectives are met.
  • Familiarity with logistics processes, including international shipments, freight forwarders, and compliance documentation.
  • Strong understanding in logistics or supply chain management.
  • Previous experience on small to midsize companies, preferably from beauty, retail, personal care or related industries.
  • Experience working with Slack, WhatsApp, and email for team communication and coordination.
  • Basic knowledge of PDF processing and document management.
  • Strong organizational and problem-solving skills, with a proactive and detail-oriented mindset.
