Corporate Communications and Marketing Administrator

Position Title: Corporate Communications and Marketing Administrator

FLSA Status: Exempt

Position Type: Full-time, Regular

Pay Type: Salaried

Reports to: Director - Strategic Marketing

PharmaLogic offers you an opportunity to join our dynamic team as a Corporate Communications and Marketing Administrator, reporting directly to the Director of Strategic Marketing.

Roles & Responsibilities:

General Administrative Support: Perform various administrative tasks as needed to support business objectives, including coordinating meetings, booking room blocks and meeting spaces, maintaining records, pulling data, and assisting with ad-hoc projects. Adapt to evolving business needs and provide operational support to ensure smooth and efficient day-to-day operations.

Process Documentation & Improvement: Help document marketing processes and workflows. Identify and recommend improvements to increase efficiency and streamline operations. Maintain marketing documentation on SharePoint or another repository.

Tradeshow, Meeting, & Event Support: Assist with and manage aspects of tradeshow and event logistics, including contract negotiation, vendor coordination, and budgeting. Oversee event setup, including booth design and materials, and handle on-site execution. Coordinate room blocks, travel arrangements, and accommodations for attendees. Organizing internal and external meetings, including logistics like room setup, equipment, and catering, Preparing documents for meetings, including slide decks, handouts, and other materials.

Vendor & Budget Management Support: Assist in managing relationships with third-party vendors, agencies, or external tools, and help monitor the budget for marketing initiatives.

Marketing Systems Project Management: Support the implementation and administration of marketing technologies, including CRM (Salesforce, HubSpot), marketing automation platforms (Marketo, Pardot), and analytics tools (Google Analytics, Tableau). Assist in maintaining data integrity for these platforms.

Cross-functional Collaboration: Work closely with marketing, sales, and IT teams to ensure smooth execution of campaigns and initiatives. Assist in communication and coordination between teams for effective project delivery.

Required Qualifications:

Bachelor’s degree in marketing communications, or equivalent experience in executive assisting or administration.

Understanding of Pharma industry laws and regulations related to Anti-Kickback, PhRMA guidelines, and the Sunshine Act

5-10 years of experience with exposure to marketing and communications related activities.

Comfort and ability traveling up to 50%, including nights and weekends as required.

Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with marketing tools such as Salesforce, Pardot, Canva, and DocuSign.

Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously and meet deadlines.

Strong attention to detail, with a focus on accuracy in data entry and reporting.

Ability to work collaboratively in a cross-functional team environment and communicate effectively with stakeholders at all levels.

Basic understanding of marketing concepts such as lead generation, campaign tracking, and customer segmentation is a plus
