WHAT WE ARE LOOKING FOR
We are searching for a Sr. Event Coordinator to join our Opus team. This role will be essential to the event's success by supporting the Project Lead to keep stakeholders, internal teams, vendors, and additional contributors to task and budget, whilst helping to drive seamless execution. Sr. Event Coordinators support the Project Lead to ensure that client needs are anticipated and exceeded by updating planning schedules, providing call and meeting minutes/notes, researching and booking vendors/contractors, and implementing Opus processes to deliver unique experiences.
Must be results oriented, able to meet demanding deadlines and balance multiple tasks in a fast-paced environment.
YOU SHOULD HAVE
- 2+ years of Senior Coordinator experience preferably within the event industry
- Bachelor's Degree (B.A.) preferred
- Supporting on the delivery of events with complex workstreams or programs at a large scale (e.g., 750+ attendees in person) Please specify events worked on and role in CV.
ESSENTIAL RESPONSIBILITIES
- Exhibits strong critical thinking, multi-tasking, and problem-solving capabilities.
- Ability to anticipate areas of risk and implement creative solutions.
- Effectively manages a high volume of work and consistently provides a high quality of work output.
- Co-ordinates project team meetings on a regular basis with all members of the project team whilst keeping track of project progress, challenges, and solutions, and taking and distributing meeting minutes
- Supports tracking of event budgets, to prevent budget overruns
- Maintains independent working relationships and establishes excellent customer service with clients and vendors.
- Negotiates with vendors to achieve higher caliber service and/or cost savings on behalf of the client.
- Maintains a thorough knowledge of Opus best practices and overall agency operations.
- Actively participates and contributes to department meetings, training, initiatives, and committees.
- Able to effectively prioritize tasks, whilst owning the project timelines/critical path and providing updates as necessary to keep the team to task
- Maintains clear communication with manager and/or client, regarding special problems or exceptions to policies and procedures.

Physical Requirements:
Individuals will be required to sit for the majority of the day and will be required to stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques required.
