Position Overview
We are looking for a detail-oriented and highly organized Operations Coordinator to support and streamline key operational processes. In this role, you will be responsible for managing workflows, maintaining operational data, and ensuring smooth coordination between teams. Your role is crucial in keeping day-to-day operations efficient, well-documented, and optimized.
The ideal candidate is process-driven, tech-savvy, and able to manage multiple priorities at once. This role is best suited for someone who excels at execution, organization, and supporting leadership with operational insights.
Key Responsibilities
Operational Process Support Assist in implementing and maintaining operational workflows, ensuring teams stay aligned and efficient.
Standard Operating Procedures (SOPs) & Documentation Create, update, and refine SOPs, training materials, and workflow documentation to improve efficiency.
Data & KPI Management Collect, organize, and analyze operational data, tracking key metrics for reporting and continuous improvement.
Meeting Coordination & Internal Communication Schedule and organize weekly team meetings, ensuring structured agendas and follow-ups.
Client & Vendor Coordination Assist in managing client inquiries, vendor relationships, and operational service requests.
Technology & System Utilization Leverage software tools such as HubSpot, Asana, Notion, Google Sheets, and automation tools (Zapier, Make) to enhance efficiency.
Process Improvement Initiatives Collaborate with leadership to refine sales scripts, pricing strategies, customer follow-ups, and workflow efficiencies.
Qualifications
2+ years of experience in an operations coordination, administrative, or project support role.
Proficiency in operational tools such as CRM systems (HubSpot), project management software (Asana, Notion), and reporting tools (Google Sheets, Excel).
Strong attention to detail, with an ability to handle multiple tasks efficiently in a fast-paced environment.
Excellent written and verbal communication skills for handling client inquiries and internal coordination.
Analytical mindset, with experience tracking and optimizing workflows based on data insights.
Tech-savvy, with a willingness to learn and implement automation tools (Zapier, ChatGPT, AI-driven platforms).
Nice to Haves
Experience in supply chain, procurement, logistics, or bookkeeping.
Familiarity with financial reporting, QuickBooks, or tax documentation.
Background in process automation and workflow improvement.
Exposure to SEO, digital marketing, or social media management (for businesses that require operational marketing support).
