Position Summary

The Executive Assistant is responsible for supporting the administrative functions of the Account Management role in Agile industry teams at Rocket Clicks. As a front-line team member, they handle the logistics of calendar management, own routine and standard client written communication, and act as an integral part of the project management process. Their attendance in both internal sprint meetings and client calls supports the team in capturing follow-up tasks, meeting deadlines, and identifying roadblocks in advance. The Assistant also maintains the overall organization and process of the industry team as it pertains to file organization and naming, data entry and record keeping, meeting naming and timing, and more.

  • Pay range monthly: PHP 93, 983.33 - PHP 122, 178.33
  • Location: Remote-Philippines (100% Work From Home)
  • Work Schedule: 8AM to 5PM CST
  • Employment Type: Independent Contractor (40 hours/week)

Performance Objectives

  • Manage the calendar of the Account Manager, with an emphasis on external client meetings (scheduling, attendees, agenda notifications)
  • Facilitate effective client meetings by attending, capturing to-dos for all parties, and drafting recap emails promptly
  • Handle standard email correspondence professionally on behalf of the Account Manager
  • Interface with company project management system to ensure needed items for client meetings are received from team members, reviewed, and distributed ahead of events
  • Supports effective meetings with prepared slide deck templates and content assignments for the team
  • Ensures documentation is captured in an ordered and logical manner on file management system
  • Maintains proper file structure, naming conventions, formatting on administrative systems of team
  • Handle recurring data entry tasks each month related to reporting and billing needs

Capabilities / Key Competencies

  • Proven experience handling email correspondence on behalf of an English-speaking executive
  • Highly organized and detail oriented, as evidenced by examples from both personal and professional life
  • Prior experience operating as an Executive Assistant or Virtual Assistant for a Director-level or higher individual within a US-based organization
  • Proficient in use of all Google Suite products (Docs, Slides, Sheets)
  • Comfortable with AI products (Claude, ChatGPT, Gemini, etc.) for research, copywriting, transcription, and summarizing

Education & Experience

  • 4-year college degree or equivalent experiential knowledge
  • Prior experience working in a professional services organization

Physical Requirements
