Job description

Owls in this role will oversee the day-to-day activities of the company's operations, focusing on enhancing operational systems and performance. This role involves working with people, partners and coordinating on internal initiatives with other cross-functional teams to ensure alignment and efficiency.

To be successful in this role, the ideal candidate is a team player, a problem solver, data and metrics-oriented, and always looking for ways to support company leaders in developing and executing short and long-term initiatives to drive growth and success. Reporting to the Senior Business Operations Specialist, this role involves partnering with Product, HR, and Operations Leads to support planning and execution of internal initiatives. The ideal candidate will build strong stakeholder relationships, be detail oriented in project management, and be able to proactively communicate gaps/risks/opportunities.

This is a fully remote position, however, applicants must be located in and eligible to work in either the United States or Canada.

Responsibilities:

  • Support company leaders to track multiple workstreams to ensure delivery success and alignment back to larger organizational objectives.
  • Develop and maintain performance metrics and reports in support of larger initiatives.
  • Build complex slide decks and presentations for strategic leadership and company-wide initiatives.
  • Assess existing processes and systems, identify opportunities for improvement, and escalate and resolve areas of improvement. 
  • Assist with initiating, developing, revising, recommending, and ensuring implementation of policies, plans, procedures, and directives under guidance of the Senior Business Operations Specialist.
  • Assist in the definition of and documentation of processes into standard operating procedures and/or Change Management plans.
  • Assure integrated and coordinated short-term, mid-term, and long-range planning on projects, strategic roadmaps, and tasks.
  • Manage day-to-day of select internal initiatives in conjunction with Leads and assigned team.
  • Document team and client meetings effectively and proactively follow up on outstanding agenda items.
  • Develop agendas for weekly leadership meetings to drive progress on strategic initiatives.
  • Support various internal initiatives, including project planning, communications, roll out, monitoring and feedback loops.

Requirements

Required Skills/Abilities: 

  • Ability to collaborate both internally and externally and provide support to the organization leadership, staff, and program managers on any assigned programs and projects.
  • Ability to analyze issues and propose appropriate resolutions.

Required Education and Experience:

  • 3+ years of experience in dedicated business operations, project management, or program management
  • Experience crafting and coordinating content to create slide decks and presentations for multiple audiences within the organization, including senior leadership
  • Possession of excellent verbal and written communication skills
  • Experience with Google Suite and Notion

Preferred Education and Experience:

  • Experience effectively working with remote teams
  • Possession of excellent analytical, problem-solving, and decision-making skills
  • Project Management Professional (PMP) or similar certification
  • Data analysis and experience creating dashboards and reporting tools
  • Experience with the Atlassian suite such as Jira or Confluence
  • Degree and/or equivalent experience in Business, Communications, or related field

Salary Range: $70,000 - $85,000 USD/year

Physical Requirements: 

Owls must be able to use virtual reality headsets but are not expected to own one.

Position Type/Expected Hours of Work: 

This is a remote full-time, 40-hours per week position. Core hours of work are Monday through Friday, 10:00 a.m. to 4:00 p.m. CT.

Travel:

For Owls working outside of the Austin, TX area, travel to Austin may be required 2 to 6 times per year.
