Job description

We are seeking a highly organized and proactive Contract Specialist, Procurement to join our dynamic Legal team at Top Hat! This role reports directly to the Senior Director, Legal & Data Privacy Officer. In this role, you will play a critical part in managing the procurement function at Top Hat, including sourcing and negotiating terms with potential vendors for Top Hat, reviewing vendor contracts, and supporting cross-functional teams to ensure efficient onboarding of vendors into Top Hat's systems.

About the gig:

  • Vendor Contract Management: Negotiate and manage vendor contracts on behalf of teams across the business, track contract expirations and renewals, and identify potential risks

  • Operational Support: Maintain Top Hat's software tracker and assist in evaluating new solutions for procurement management

  • Independent Contractor Management: Oversee contract generation and compliance for independent contractors across the business

  • Document and Workflow Management: Track contract statuses, manage document repositories, and maintain workflows using tools like Ironclad and Streamline AI

  • Cross-Functional Collaboration: Act as a point of contact between the legal and other internal teams, ensuring alignment and timely resolution of requests

  • Request Management: Support the Senior Legal Operations Specialist to handle and resolve various legal requests, including contract requests, DMCA takedown requests, NDA reviews, and order form assistance

About you:

  • 3+ years of experience in a Paralegal, Procurement or a similar role

  • Familiar with contract lifecycle management tools and workflow management software, e.g., Ironclad, Jira, or Streamline AI

  • Proven experience managing budgets, including tracking expenses and identifying cost-saving opportunities.

  • Experience managing contract negotiations and working with internal stakeholders to support a technology business is preferred

  • Excellent communication and problem-solving abilities.

  • Strong negotiation, organizational, and project management skills

  • Ability to manage multiple priorities and collaborate across departments

  • Experience with intellectual property, patent processes, or RFP processes is a plus!
