Description

JOB PURPOSE:

The Senior Executive Assistant is a highly skilled professional responsible for supporting the Chief Operating Officer through various administrative functions. This role requires exceptional accuracy, accountability, attention to detail, and discretion. Serving as a key liaison to internal and external senior management teams and stakeholders, the Senior Executive Assistant ensures seamless communication and coordination. Additionally, this position supports all operational and ad hoc duties directed by the Chief Operating Officer. The individual will occasionally assist other C-Suite Executives, as needed.

ESSENTIAL JOB RESPONSIBILITIES:

  • Administrative Support
    • Prepare and edit documents, reports, and material for meetings and conferences
    • Provide presentation support (PPT, Excel, etc.)
    • Manage credit card expenses, invoices, receipts, and related reports
    • Calendar Management
    • Arrange travel to include transport and accommodations
    • Organize and maintain records in electronic filing systems
  • Project Management
    • Define project scope, plan activities, and allocate resources with the Chief Operating Officer
    • Develop and adjust project schedules and processes, ensuring adequate staffing and resources
    • Monitor progress, maintain documentation, and ensure quality standards
    • Communicate project updates to stakeholders and prepare reports for the Chief Operating Officer and other audiences, as needed
    • Close projects, document lessons learned, and evaluate outcomes
  • Other Key Duties
    • Research assigned topics and regulations, as needed
    • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
    • Keep abreast of organizational changes and/or identify opportunities for change and/or refinements are needed
    • Supervise other executive administrative support roles, as needed
    • Provide occasional support to other C-Suite Executives and backup for counterparts, as needed
  • Other duties as assigned.

ESSENTIAL QUALIFICATIONS: 

 

EDUCATION: BS/BA in business administration or relative field.

 

EXPERIENCE:

  • 5+ years of relevant experience in an executive assistant role, supporting C-Level executives (preferred).
  • Proven experience in project management, executive administration.
  • Comprehensive knowledge of administrative procedures and departmental operations.
  • Ability to communicate effectively and professionally both orally and in writing.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Strong analytical mindset with effective problem-solving skills.
  • Exceptional organizational skills and ability to manage multiple tasks simultaneously.
  • Collaborative team player with proven leadership capabilities.
  • Exceptional ability to think strategically, anticipate future needs and challenges, and identify potential solutions and/or mitigation strategies to address needs/challenges.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

LICENSES: Driver’s License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.
