About the Role
We are seeking a highly organised and proactive Executive Assistant to support our founder in their daily operations. The Executive Assistant will play a critical role in ensuring smooth communication, internal and external stakeholder and relationship management, efficient workflow, and effective time management. As a vital member of the team, the successful candidate will be adaptable, discreet, and possess exceptional multitasking abilities. This position offers a unique opportunity to contribute significantly to the smooth operation of Beamery.
What will you be doing at Beamery?
🚀 Optimise executive productivity by managing complex calendars, scheduling key meetings, and coordinating travel arrangements to ensure efficient time management.
🚀 Act as a primary point of contact for internal and external stakeholders, building relationships through handling inquiries and communications with professionalism, speed, quality, and confidentiality.
🚀 Implement strategies to streamline processes and enhance efficiency, resulting in measurable improvements.
🚀 Ensure the executive being supported is well briefed and prepared for meetings, and help to support follow-up action communication and delivery.
🚀 Demonstrate discretion and confidentiality when handling sensitive information.
🚀 Assist with managing personal appointments, ensuring a seamless work-life integration.
🚀 Meet and greet external guests and provide an excellent guest experience.
🚀 Organise company meetings, events, and off-sites.
🚀 This role is intended to be office-based, with some travel as required.
🚀 Schedule and coordinate quarterly Board meetings and bi-annual Remuneration Committee (RemCo) meetings
🚀 Manage purchase orders (POs) and reconcile expenses with accuracy and efficiency
