Job Description

We’re looking for an exceptional Personal Assistant to join our client’s team in a part-time capacity, with the potential to transition to full-time as the business grows. In this role, you’ll be the linchpin of daily operations, ensuring smooth scheduling, efficient calendaring, and providing crucial support to business representatives. You’ll work closely with senior management, handling sensitive information and coordinating complex schedules across multiple time zones. This position offers a fantastic opportunity to develop your skills in a fast-paced, international business environment while contributing to the success of a cutting-edge financial consulting firm.

Responsibilities
  • Masterfully manage and maintain executive schedules and calendars, ensuring optimal time management and productivity
  • Coordinate high-level meetings and appointments across various time zones with precision and attention to detail
  • Provide comprehensive support to business representatives, anticipating needs and resolving issues proactively
  • Handle confidential correspondence and administrative tasks with the utmost discretion and professionalism
  • Arrange domestic and international travel, including complex itineraries, accommodations, and necessary documentation
  • Act as a primary point of contact for internal and external stakeholders, maintaining excellent communication at all times
  • Assist in preparing materials for meetings, presentations, and client interactions
  • Contribute to special projects and initiatives as needed, showcasing adaptability and a willingness to learn
Requirements
  • Proven experience as a Personal Assistant or in a similar role, preferably in a financial or professional services environment
  • Exceptional organizational skills with a talent for juggling multiple priorities and deadlines
  • Outstanding written and verbal communication skills, with the ability to interact professionally with high-level executives and clients
  • Advanced proficiency in calendar management tools, productivity software, and general office applications
  • Demonstrated ability to handle confidential information with the highest level of discretion
  • Flexibility to work in a part-time capacity initially, with the potential and willingness to transition to full-time as the business expands
  • Strong problem-solving skills and the ability to work independently with minimal supervision
  • Familiarity with international business practices and etiquette is a plus
  • Ability to adapt to changing priorities and thrive in a dynamic, fast-paced environment
  • Keen attention to detail and a commitment to delivering high-quality work consistently
