Job Description

We’re seeking a detail-oriented Virtual Executive Assistant to support three directors in this forward-thinking healthcare organization. This role offers an exciting opportunity to be part of a company that’s revolutionizing women’s health services while working in a flexible, remote environment. You’ll be instrumental in streamlining operations, managing critical communications, and ensuring smooth organizational flow across multiple leadership channels.

Responsibilities
  • Manage and organize email communications for three directors
    • Analyze and categorize incoming emails
    • Draft and send responses when appropriate
    • Route priority emails to relevant directors
    • Delete or archive non-essential communications
  • Create and maintain organizational systems
    • Develop and manage Google Drive structure
    • Set up and maintain shared drives
    • Configure appropriate access permissions
    • Implement efficient file organization systems
  • Provide administrative support
    • Prepare daily summary reports
    • Create and distribute action item emails
    • Manage weekly agendas
    • Coordinate between directors
  • Document and process management
    • Establish standardized filing systems
    • Create and maintain documentation procedures
    • Ensure proper information flow between departments

Requirements
  • Proven experience with Google Workspace applications, particularly Google Drive and Gmail
  • Strong proficiency in Microsoft Office suite
  • Excellent written and verbal communication skills in English
  • Demonstrated ability to manage multiple priorities and organize complex information
  • Experience in handling confidential information with discretion
  • Strong attention to detail and problem-solving abilities
  • Ability to work independently and make sound decisions
  • Experience in healthcare or related industry preferred but not required
  • Excellent time management and task prioritization skills
  • Proven ability to understand and manage email content effectively
