The Global Entertainment Operations Specialist supports the Manager, Global Entertainment Operations in ensuring effective and efficient departmental operations by managing knowledge databases, executing finance & procurement procedures and vendor payments, managing talent & content rights (including creation/tracking contracts), performing research, issuing departmental communications and assisting in conceiving and leading projects to implement departmental process improvements. The incumbent also manages, coaches and leads subordinate staff.

Principal Duties and Responsibilities (*Essential Duties)

  • Support Department Liaison to Finance/Procurement - manage all departmental financial systems & procedures, including building and tracking of annual budgets in the analytics system and facilitation and processing of in-kind items or cash donations provided to the USO Entertainment department.*
  • Maintain rights management database highlighting Talent & content permissions for USO uses. Track, create and/or issue all contracts for talent or production vendors.*
  • Track and report progress on prospective talent requests and performance outcomes.*
  • Support data management projects, recommending process enhancements for the new CRM platform (Salesforce), coordinating the CRM’s implementation and future revisions and improvements, track Center participation in Entertainment’s activities across the CRM platform.*
  • Provide entertainment project collaboration assistance for USO entertainment programming, lead registration management & tracking for entertainment events.
  • Establish internal communication efforts for entertainment programming, including gathering details, designing, and releasing promotional materials with related USO colleagues to ensure accuracy, brand compliance and frequent refreshing. *
  • Gather data for the Manager, Global Entertainment Operations for reports and/or board presentations, and design, improve and present for adoption new reports based on business needs.*
  • Keep abreast of industry and identify intra-departmental trends, and advocate for improvement recommendations related to industry factors and trends.
  • Provide administrative support – including scheduling meetings & filing expense reports as needed.*
  • Other duties as assigned.

Job Specifications

  • Bachelor’s Degree in Communications, Marketing, Public Relations or related field.
  • 3-5 years work experience in administrative or support roll, preferably in the sports or entertainment industry, including 1+ years in a supervisory capacity. Relevant experience in a not-for-profit, multicultural, corporate and/or global organization preferred.
  • Working knowledge of music, TV, film, sports, pop culture. General awareness of complex cultural sensitivities of a variety of domestic and international locations.
  • Strong interpersonal skills and customer service skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
  • Proficiency using computers and electronic equipment, with general knowledge of various software, applications, and programs, including Microsoft Office Suite (SharePoint) and CRM platforms (e.g. Salesforce). Knowledge of Salesforce and data entry will be a significant aspect of the role. The ability to quickly adapt to new software programs is essential and a key part of this position.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must be punctual, organized and self-motivated, with the ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic math and follow proper cash/donation handling and reporting procedures.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
