Job Description
INTRODUCTION:
The HR Assistant - Recruiting and Onboarding contributes by coordinating candidate interviews, new hire onboarding, independent contractors, contingent workers, and internal transfers.
*Candidates must have English language proficiency - written and verbal* and ideally be fluent in Spanish and Portugese.
WHAT YOU’LL DO:
Post job positions to appropriate sources
Create job profiles
Create positions
Schedule interviews with interviewers
Book travel and accommodations, as needed
Compile offer letters for review
Other special projects, as needed
New hire onboarding and Transfer/Promotions processing
Processes new hires and transfers throughout the onboarding phase following department standards and documenting in Workday or employee personnel file ( Background Check, Reference Check, Assessments, I-9’s, Photos, etc.)
Answers questions from new hires and transferring employees and helps as needed
Ensures proper paperwork and tasks are completed (employee and manager) and loaded to personnel file
Works with IT team to ensure remote employees meet Internet requirements for position
Submits ServiceNow tickets for completion by manager and IT
Coordinates orientation and equipment audit activities among multiple teams
Prepare Independent Contractor Agreements (SOW, ACH, Personal Data Sheet, Policies, W9, and timesheet) coordinate with manager, contractor, finance, and IT.
Set up Software Innovation and Offshore Customer Care contingent workers in Workday (JTF and data maintenance).
Administrative and Support
Maintain job descriptions
Assists with data entry into Workday
Backup for internal and external mail
Supports leadership by maintaining various spreadsheets and reports
Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner
Maintains discretion and confidentiality regarding sensitive documents ensuring compliance
Name Change Processing
Assist with wellness program activities as needed
WHAT YOU’LL NEED:
Workday application moderate knowledge HRIS, Recruiting, End User, Business Processes, Reporting.
Moderate to advanced knowledge of Microsoft Word, Excel, and Outlook
Basic knowledge of standard business practices
Excellent customer service skills
Expresses a high level of energy and attention to detail and professionalism
Ability to multi-task and change direction quickly with strong communication and interpersonal skills
Strong organization/prioritization skills
Ability to work independently with little or no supervision
Ability to problem solve using deductive reasoning skills in a timely manner
Ability to succeed in a team environment
Excellent written and verbal communication skills including punctuation, spelling, grammar and writing technique
Basic skills including but not limited to addition, multiplication and division of whole numbers, decimals and fractions
Desire to succeed in a fast paced environment
Must be extremely detail-oriented and able to make sound decisions
Flexibility & Adaptability – ability to change priorities quickly and often
Strong written and verbal communication skills in English
High school diploma or equivalent
