The Bookkeeping VA will be responsible for a variety of financial tasks, including payroll, monthly reconciliation, managing ACH transfers, creating checks for all incoming invoices, managing receipts, processing owner draws, and filing invoices correctly for two small businesses. The ideal candidate will have proficiency in QuickBooks, Asana, and Google Workspace, with experience in Buildium being highly preferred.

Responsibilities
  • Bookkeeping Support:
    • Maintain and update financial records using QuickBooks.
    • Process accounts payable and receivable.
    • Reconcile bank statements and manage cash flow.
    • Prepare financial reports and assist with budgeting and forecasting.
    • Ensure compliance with accounting principles and regulations.
  • Property Management Assistance:
    • Use Buildium to manage tenant and property information.
    • Handle lease agreements, renewals, and terminations.
    • Assist with rent collection and monitor payment status.
    • Coordinate property maintenance and repair requests.
    • Communicate with tenants and address their inquiries and concerns.
    • Generate and distribute monthly statements to property owners.
  • Manage payroll for all employees.
  • Perform monthly reconciliation of accounts.
  • Handle ACH transfers and ensure timely transactions.
  • Create checks for all incoming invoices and ensure they are processed accurately.
  • Manage and organize receipts.
  • Process owner draws and ensure they are documented correctly.
  • Process invoices and file them accurately in the system.
  • Maintain accurate financial records and ensure compliance with company policies.
Qualifications
  • Proven experience as a virtual assistant or in a similar role.
  • Proficiency in QuickBooks and Buildium.
  • Familiarity with G Suite and other collaboration tools.
  • Strong organizational and multitasking skills.
  • Excellent communication abilities, both written and verbal.
  • Ability to work collaboratively during EST business hours.
