The Payroll Support Specialist will assist in monthly payroll processing and support the payroll team with various payroll projects (e.g. implementation of new payroll software) across multiple countries, with initial focus on Germany. This role requires a detail-oriented individual with strong analytical skills and the capacity to work collaboratively in a fast-paced environment.

Please note that this is a fixed-term position until 31 March 2026, with the possibility of extension.

Main responsibilities:

  • Provide day-to-day support for the payroll team during the monthly payroll cycle, ensuring timely and accurate payroll processing across various regions.

  • Assist with the integration and coordination of payroll data between Workday and external payroll providers or systems.

  • Collaborate with payroll providers to ensure payroll processing runs smoothly and address any issues or discrepancies promptly.

  • Assist in preparing payroll reports, performing data audits, and reconciling discrepancies.

  • Support the processing of payroll for multiple countries, ensuring compliance with local tax regulations and company policies.

  • Help implement payroll projects and assist in system or process improvements across different regions.

  • Respond to payroll-related inquiries from employees, HR, and finance teams, providing excellent customer service.

  • Monitor payroll timelines and ensure all required information is received for timely processing.

Other responsibilities:

  • Support documentation of payroll processes and maintain up-to-date records for audit and compliance purposes.

  • Perform ad-hoc and recurring reporting of payroll data.

  • Own the set-up and continuous adjustment of the Payroll Playbook as central process repository.

  • Actively participate in payroll related process improvement initiatives & the development of payroll best-practice approaches.

  • Stay informed about changes in payroll regulations and best practices in the countries where the company operates.

  • Representing the function in internal/external audits.

Requirements:

  • 3+ years of payroll experience covering various European countries.

  • Bachelor's degree in HR, Accounting or related field.

  • Experience in being a contributor to payroll implementation or transition projects.

  • Strong servicing mindset, feeling at ease when answering payroll inquiries of internal customers, both in writing and over the phone.

  • Passionate about HR administration, payroll and data accuracy.

  • Solid understanding of accounting, taxation, and finance concepts as it relates to payroll in European countries.

  • Experience in external payroll platforms and managing external payroll providers.

  • English language skills at C1+ level (both written and verbal).

  • Resistant to stress and strive to meet deadlines in time.

  • Proficiency in Excel.

  • Ability to work from our Cracow's office at least 6 days per month.

Nice-to-haves:

  • Familiarity with Workday as central HRIS platform.

  • Experience in processing German payroll.

  • Fluency in German language.
