About the role
Why the job exists:
· To work with the Delivery Leads and Department Heads to ensure that the right team and systems are in place to deliver projects to the highest possible quality.
· To support on resource planning and scheduling for upcoming projects across EMEA hub (resource forecasting and scheduling).
· To mediate on competing resource requests of live projects.
· To look for efficiencies or new processes that can improve Resource Management.
· To liaise with Global Operations teams to assist with global resourcing requests as needed.
Responsibilities:
Resource Planning:
· Ongoing resource planning following a set of weekly calls with the Leadership Team, Talent Acquisition (TA), and the Project Managers.
· Ensuring that resources are scheduled efficiently and economically and informing TA and the Operations Director about potential hiring needs as soon as possible.
· Critically assessing resources’ ongoing workloads and informing the wider team of any upcoming availabilities.
Timesheets & Reporting:
· Ensuring resources complete timesheets by Fri COB each week, for weekly financial reporting, and chasing where needed. Following up and resolving any blockers to allow resources to input time correctly. Escalating to the respective Department Head where needed.
· Providing timesheet training for staff – new joiners, as well as any refreshers as needed.
· Reviewing Timesheet batches and processing all timesheets monthly in accordance with Paprika processes.
· Querying any time that does not seem in line with resourcing or project panning.
· Running and analysing monthly Time Utilisation reports and submit to the Operations Director in time for monthly Senior Management meetings, with summary of any resources repeatedly not meeting utilisation target, and next steps to achieve those targets.
Freelance Tracking:
· Together with HR and Finance, keep track of all freelance bookings. This includes:
o Approval of freelance requests from the Project Managers, or occasionally Department Heads
o Entry of freelance request into the Freelance Tracker
o Check and approval of freelance invoices in line with the initial booking request, and budget.
· Supporting the Operations Director in ensuring all processes are being followed across teams and projects, and running trainings as needed.
Requirements:
· 3-4 years’ experience in Resource and Operations Management in a digital marketing agency, with previous Project Management experience
· Basic understanding of Operational KPIs, e.g. billability, utilisation, overburn, margins, overheads
· Experience in developing, managing, and updating processes.
· Highly organised, with a keen eye for detail, who can manage several workstreams at any one time
· Passion for the role and industry, and keen to learn and develop further in the role and with Greenpark.
