Job description

Job Summary / Objective

The HR Benefits and Payroll Specialist will manage and administer employee benefits and payroll functions across multiple subsidiaries

in North America. This role ensures accuracy, compliance, and efficiency in processing payroll and benefits while providing excellent service

to employees and subsidiaries. The position requires strong knowledge of multi-state payroll and benefits administration, integration of systems,

and compliance with federal, state, and local regulations.

Main Tasks / Responsibilities

Benefits Administration

  • Administer and oversee employee benefit plans, including medical, dental, life, disability, retirement, and wellness programs.
  • Coordinate annual open enrollment, including preparing and distributing communication materials and managing system updates.
  • Maintain relationships with benefits brokers, carriers, and intermediaries to ensure plan administration aligns with company objectives.
  • Ensure compliance with regulatory requirements, including ACA filings, 401(k) audits, and government reporting.
  • Guidance on COBRA, STD to LTD, partial leaves, Qualifying Events to subsidiary HR for unique situations.
  • Support wellness programs by setting objectives, coordinating vendor execution, and communicating updates to employees and HR teams.

Payroll Administration

  • Oversee and process payroll for approximately 1,400 employees across multiple states, entities, and pay schedules (bi-weekly, semi-monthly, and weekly).
  • Ensure timely and accurate payroll transactions, including salaries, benefits, garnishments, taxes, and deductions, using ADP Workforce Now.
  • Act as a subject matter expert on payroll taxes, multi-state compliance, and unemployment tax registrations.
  • Validate payroll updates for new hires, terminations, and pay rate changes.
  • Collaborate with subsidiaries to train staff, standardize payroll templates, and improve processing efficiency.

System Integration And Data Management

  • Manage and develop HRIS systems to support payroll, benefits, and employee data accuracy.
  • Ensure system compliance with legal and regulatory standards.
  • Coordinate integration between payroll, HR, time/attendance, and general ledger systems for seamless operations.
  • Monitor and report on payroll and benefits metrics and KPIs.

Compliance And Audits

  • Ensure compliance with federal, state, and local wage, hour, and tax laws.
  • Participate in internal and external audits by providing necessary documentation.
  • Stay updated on changes in laws and regulations affecting payroll and benefits.

Additional Responsibilities

  • Develop and implement updates to payroll and benefits procedures to reduce errors and improve efficiency.
  • Support total rewards benchmarking and analysis for subsidiaries.

No direct reports. Guidance to HR and Finance teams for payroll and benefits.

Education, Training and Experience

  • Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field (equivalent work experience accepted).
  • 5+ years of combined experience in benefits administration, payroll processing, and HRIS systems.
  • Extensive knowledge of multi-state payroll taxes, compliance, and benefits laws.
  • Proficiency with ADP Workforce Now and Microsoft Office Suite.
  • Experience in a manufacturing environment is a plus.

Position Type, Expected Work Hours and Travel

Full time, 5 days per week. Remote with flexible hours to suit partner teams’ time zones. Travel up to 10%.
