Job description

This is a remote position.

A dynamic property management business in the UK is looking for a Virtual Executive / Operational Assistant. The successful candidate must be an enthusiastic individual who is keen to use their own initiative and help drive the business forward with vital tasks and management of systems and processes. This is a part-time (20 - 25 hour a week position), fully remote.


Responsibilities:

Being a first point of contact for enquiries and proactively managing routine matters on own initiative
Managing confidential and personal information appropriately
Acting as a point of contact to the team members for any day to day queries which can be actioned without director input
Be a point of contact for enquiries for the Director through various channels, ensuring that all are responded to in a timely manner
Support the preparation of formal presentations
Maintain the Director dashboard ensuring data correct and up to date for reporting purposes of the business KPIs in line with objectives
Supporting the wider team in accordance with business objectives and advising of any issues arising
Field calls for the director and filter through high-value enquiries based on your judgement organising and attending meetings and ensuring the Director is well prepared for those meetings
Screening phone calls, enquiries and requests, and handling them when appropriate
Devising and maintaining office systems, including data management and filing
Identifying areas to grow and develop the business by implementing a suitable structure to improve overall team efficiencies 


Requirements
  • Excellent communication skills, both written and verbal
  • Excellent organisational skills and the ability to effectively multi-task in a calm and focused way under pressure, adopting a flexible approach
  • Ability to consistently produce highly accurate work, in a very busy environment, with the minimum of supervision and a high level of attention to detail
  • Ability to work in a self-managed way as well as working well within a team
  • Excellent telephone manner
  • An individual who is hardworking, flexible, reliable, and trustworthy
  • Ability to learn new tasks quickly and be able to adapt immediately to business requirements
  • Proficiency using Gsuite and maximising it’s output would be required
  • Previous experience with HR/Management would be desirable
  • Previous experience with systems such as Podio and Asana would be desirable



 



Benefits
This is a part-time (20 - 25 hour a week position)
Fully remote


Salary:

R230 - R250 per hour
