Job Summary:

The Pre-Award Administrator position guides principal investigators, project directors, and project staff through the complex process of proposal preparation and submission. Responsible for independently managing the centralized administrative duties associated with pre-award sponsored project administration processes, internal support, external collaboration, and internal education. Addresses compliance concerns proactively during the pre-award process, assess entity and investigator eligibility, and maintain an updated understanding of sponsor policy and related regulations. The Office of Sponsored Projects pre-award team assists research and programmatic principal investigators and project directors in securing awards that maintain a multimillion-dollar portfolio of funding.

Job Duties:

  • Guides PIs, PDs, project managers, and department administrative staff in the preparation, submission, review, and management of sponsored project proposal documents.
  • Reviews internal and partially internal collaborative research project proposals for adherence to internal request for proposal guidelines, institutional policy, and research best practices.
  • Oversees preparation and review of various documents required for regulatory and system compliance in relation to proposal development and submission.
  • Assists with responses to requests for additional proposal information, sponsor requested modifications to proposal documents, and the Just-In-Time process.
  • Facilitates an informed handoff to post-award administrators in OSP to ensure project activities, staffing, budgets, and deliverables are properly understood and considered during award setup and throughout the post-award phase of the sponsored project lifecycle.
  • Maintains processes related to grant management databases and proposal tracking logs.
  • Develops and compiles pre-award metrics for reporting to research leadership.
  • Establishes and enforces proposal timelines in alignment with OSP policies.
  • Assist with development, presentation, and implementation, of educational materials for PIs, PDs, department staff, and staff involved in any other aspect of sponsored project activities.
  • Serves as a liaison between organization and sponsor officials, key internal and external stakeholders, and collaborating organizations.
  • Maintains active partnerships with the Office of Research Compliance, IRB Operations, Research Finance, and the Office of Institutional Advancement.
  • Coordinates efforts with subaward organizations and the incorporation of proposal information and documents from subawards sites into prime applicant proposals.
  • Assists project teams with budget development and reviews submitted budgets for adherence to institutional policy, sponsor general guidelines, request for proposal requirements, and sponsored project administration best practices.
  • Ensures the proper application of negotiated indirect cost and fringe benefit rates and facilitates the request process for deviations from related standard operating procedures and policies.
  • Navigates grant proposal electronic portals.
  • Demonstrates an understanding of federal regulations and guidelines including the Office of Management and Budget (OMB) Uniform Guidance, various federal sponsor grants policy statements, and the annual OMB compliance supplement.
  • Maintains thorough knowledge of institutional policies as they apply to OSP processes and reconciles them with a diverse range of sponsor guidelines.
