Position Summary
We are looking for an experienced Administrative Assistant/Receptionist with a background in the medical field, such as former medical assistants or receptionists from a doctor’s office, to support our daily clinic operations. This individual will be responsible for front-desk operations, administrative support, and assisting with clinical preparation. The ideal candidate is organized, proactive, and customer-focused, with strong multitasking skills.

Key Responsibilities

  • Front Desk Management: Greet patients and visitors, manage the reception area, and ensure a welcoming and organized environment.
  • Calendar Management: Coordinate and manage calendars, including appointment scheduling and adjustments as needed.
  • Payment Processing: Take and manage payments accurately, ensuring compliance with billing procedures.
  • Inventory and Stocking: Responsible for organizing and maintaining inventory, stocking supplies, and ensuring the clinic is prepared for daily operations.
  • Communication: Answer and direct phone calls, manage correspondence, and provide excellent customer service.
  • Office Administration: Perform various administrative tasks, including data entry, record-keeping, and reporting.
  • Physical Tasks: 50% of the role involves moving around the clinic to assist with stocking, inventory, and other duties as needed. Must be able to lift up to 20 pounds.

Qualifications

  • Preferred Background: Experience in a medical setting, preferably in a doctor’s office, is highly desirable.
  • Skills: Proficiency in Microsoft Excel, Outlook, and general Office applications is required.
  • Typing Speed: Must meet a minimum typing speed (words per minute) 
  • Language: Bilingual candidates are highly preferred.
  • Physical Requirements: Ability to sit for 50% of the time and move around for the other 50%, with the capability to lift up to 20 pounds.
