We are seeking a detail-oriented Coordinator, Retail Operations & Analysis, to support the end-to-end contract administration and proposal process for campus partnerships. In this role, you will ensure contract accuracy by gathering information, maintaining up-to-date records, and coordinating with internal and external stakeholders. You’ll manage RFP timelines, compile historical data, and organize discussions to resolve outstanding issues. Additionally, you’ll conduct pro forma analyses, generate P&L statements, and maintain client data across Salesforce and Monday.com to support seamless collaboration and effective project tracking.
How You'll Make an Impact:
- Assist with contract administration, including the creation of new contracts, renewals, and extensions. Utilize AMT Software to gather contract details and track progress through Monday.com.
- Support and oversee the coordination of RFP responses by researching, organizing, and compiling data on existing stores.
- Track and manage proposals (active, submitted, upcoming), ensuring timely updates and follow-up with both internal and external teams.
- Monitor contract expiration dates using Monday.com and Salesforce, providing quarterly support to the accounting team for contract confirmations at quarter close.
- Collaborate with Legal, the Contract Administration Team, Field Leadership, and other stakeholders to review contracts, address amendments, and ensure proper execution.
- Conduct pro forma analysis using Oracle SmartView in Excel and generate P&L statements for internal and external stakeholders.
- Maintain the client database in Salesforce, ensuring accurate data entry and regular updates.
- Schedule meetings for proposal calls, feedback sessions, and other contract- or proposal-related discussions, ensuring the participation of relevant stakeholders.
- Provide general administrative support, including scheduling meetings, making travel arrangements, processing expense reports, and offering field support as needed.
- Additional responsibilities as required.
What You'll Need to Succeed:
- 2-4 years of experience in project coordination, contract administration, or related fields, preferably within the retail or higher education industries.
- Proficient in Monday.com or other project management software.
- Experience with Salesforce or similar CRM systems.
- Experienced with the Microsoft Office suite, with intermediate to advanced Excel skills, including experience using VLOOKUP, HLOOKUP, pivot tables, etc.
- Excellent verbal and written communication skills.
- Ability to work cross-functionally with internal teams, stakeholders, and external clients.
- Meticulous attention to detail with exceptional organizational skills and the ability to manage multiple projects, competing priorities, and deadlines simultaneously.
- Prior experience or familiarity with reading financial reports, P&L statements, and pro forma.
- Ability to work independently and as part of a team.
- 10% travel required, primarily to attend regional manager meetings.

The hiring rate for this position is $70,000 - 72,000. Actual pay may vary based on factors such as professional experience, skills, and competencies.
