Position Title: Major and Principal Gifts Coordinator, Midwest Region

Reports to: Senior Development Officer, Midwest

Location: Remote -- Chicago, IL

Position Type: Full Time

 

General Responsibilities

The Midwest Regional Coordinator will provide support to fundraiser(s) on the Major and Principal Gifts team, based out of Chicago. The Coordinator will support efforts to engage, solicit and steward major and principal gift level donors, as well as support the work of the Chicago-based Women’s Alliance.

 

The Major and Principal Gifts team is part of the PIH Development Department’s Individual Giving program, and works particularly closely with other Individual Giving teams, the Communications team and with select site staff. The Chicago Women’s Alliance is a philanthropic, learning, and service initiative aimed at inspiring a group of women philanthropists to have a positive impact on the health of women and children by becoming educated on the issues, engaging with PIH leadership and staff, advocating for PIH’s patients, and mobilizing philanthropic resources.

The Coordinator’s primary responsibilities include managing CRM interfaces for the team, facilitating travel planning, expense reporting, providing general administrative support, and events day-of logistics, administration, and management.

This position will be based in the Chicago area, with the candidate telecommuting from home, and will be 100% remote from the PIH Boston office.

Specific Responsibilities:

Database management (50%)

  • Act as the CRM point person for Midwest Region MGPG team frontline fundraiser(s). This includes working closely with the Development Operations team to assess coding, reporting and data modeling needs.
  • Update and maintain donor contact information, notes, actions, and proposals in Raiser’s Edge (soon transitioning to Salesforce).
  • Generate individual constituent and donor portfolio reports from Raiser’s Edge (soon transitioning to Salesforce).

 

Fundraiser and Administrative support (30%)

  • Provide administrative support, including: assisting with financial tracking for credit card statements and expense reports; managing meeting cadence and recording minutes as needed; assisting travel and meeting booking for management and team members as needed.
  • Assist with event logistics and administration, including: securing sites and venues; selecting and managing vendors; interfacing with hosts; managing event flow; day-of event coordination, including managing set-up, check-in, tech, and more; creating pre-event briefing materials; and handling event wrap up, including bill payment and expense reconciliation.
  • Conduct research and create meeting briefings and donor profiles in advance of donor meetings and/or Women’s Alliances events and activities.
  • Support Women’s Alliance Steering Committee with notetaking, pulling of fundraising reports, and event support, etc.

 

Donor support and gift processing (20%)

  • Serve as a point of contact on the team for individual major donors. Generate mailing lists, acknowledgements, and reports as needed.
  • Draft and edit grant proposals and reports as needed.

Qualifications

  • Bachelor’s degree in a related field or equivalent work experience. 2-3 years of related experience desirable.
  • Excellent writing and communication skills; competent at budget and expense management.
  • Demonstrated competence in assessing priorities and managing a variety of competing priorities in a time-sensitive environment, meeting deadlines with attention to detail and quality.
  • Excellent customer service and interpersonal skills.
  • Capacity to represent PIH in a highly professional manner and ability to handle confidential information with discretion.
  • Motivated to participate actively in a learning environment; resilient and flexible.
  • Solid computer skills in a PC environment with the capability to master new software applications. Skilled user of Excel, PowerPoint, and Microsoft Word; working knowledge of Raiser’s Edge or Salesforce a plus.
  • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and country.
  • Interest in social justice strongly desirable.
