Job Title: Executive Coordinator - Remote | WFH

Job Overview

We are in search of a proficient and committed Executive Coordinator to become an integral part of our dynamic team. This essential role will provide extensive administrative assistance to our Corporate Executive Associate and other senior executives. You will serve as the cornerstone of our operations, ensuring that compliance, administrative tasks, and special projects are executed seamlessly. The position necessitates the handling of sensitive and critical information with the highest level of confidentiality and professionalism.

Key Responsibilities

  • Deliver comprehensive administrative support to the executive team, including the drafting and management of correspondence and documentation.
  • Develop and refine PowerPoint presentations, Excel spreadsheets, and Access databases to aid team initiatives.
  • Prepare detailed meeting materials, ensuring all presentations, handouts, and collateral are meticulously organized and primed for distribution.
  • Oversee logistics for conferences and meetings, encompassing venue selection, catering, and room setup.
  • Foster a welcoming office atmosphere by greeting guests and directing them appropriately.
  • Manage office supplies and equipment, while submitting maintenance requests to uphold a productive work environment.
  • Assist in the creation and compilation of procedural manuals to bolster staff training and enhance customer communication.
  • Navigate a complex executive calendar, including scheduling meetings, coordinating travel arrangements, conference calls, and training sessions.
  • Support compliance initiatives through research, managing necessary licenses, maintaining the compliance calendar, and ensuring adherence to regulatory requirements and internal policies.
  • Establish and sustain a robust contract management system.
  • Assist with property management responsibilities, including rent collection and administration of property-related expenses.
  • Perform additional duties as necessary to support the executive team and overall company operations.

Required Skills

  • Advanced expertise in the Microsoft Office Suite, particularly in Access database management and PowerPoint presentation development.
  • Exceptional verbal and written communication capabilities.
  • Strong project management and multitasking skills, able to efficiently handle multiple projects with minimal supervision.
  • A commitment to discretion when managing confidential information.
  • Detail-oriented with an enthusiasm for learning and thriving in a fast-paced environment.

Qualifications

  • A Bachelor's Degree is preferred.
  • At least 5 years of experience in executive support, ideally within a small to medium-sized business that operates at a dynamic pace.
