Job Overview

We are looking for a diligent Labor Administrative Assistant to become an integral part of our team in a remote role. The selected candidate will play a vital role in supporting our field employees by ensuring the precision of daily timekeeping, per diem, and travel records across various job sites nationwide. This position necessitates close collaboration with field crews, job leads, labor managers, and payroll to adhere to state labor regulations and maintain accurate documentation.

Key Responsibilities

  • Accurately verify that all hours worked by field employees are recorded daily.
  • Ensure daily entry of hotel room numbers for field employees for per diem processing.
  • Track and confirm expected travel mileage for field employees each day.
  • Communicate with field personnel to address any discrepancies regarding hours, room numbers, or travel information.
  • When required, confirm that daily clock-in and clock-out times, including breaks, are accurately logged.
  • Monitor and verify approved time off, vacation, and sick time for field employees.
  • Collaborate with the payroll department at the end of each pay cycle to ensure accuracy in recorded hours, per diem, and travel information.
  • Provide essential organizational support to the labor team through effective communication and task management.

Required Skills

  • Bilingual proficiency in English and Spanish is advantageous but not mandatory.
  • Possess a professional demeanor along with exceptional communication skills.
  • Exhibit strong phone etiquette with the ability to multitask efficiently.
  • Detail-oriented with a strong commitment to maintaining excellent attendance.
  • Proficient in Microsoft Word and Excel is essential.
