Description

Summary:  

The Multifamily Operations Manager is responsible for the day-to-day operations of the multifamily portfolio. This position will oversee all deliverables and tasks associated with onboarding a property to the multifamily portfolio during the first 60 days of a transition, compile weekly reports for RM & RVP on KPI’s, create and manage recruiting requisitions from initial job posting to first round interviews, and assist RM & RVP with ongoing multifamily portfolio build out tasks. Our ideal candidate is a tenured property manager with a strong knowledge base of the Peak Made infrastructure and background in multifamily property operations. This individual is highly intrinsically motivated with excellent time management skills and thrives on executing task lists with clear regards for timely task completion and thoroughness.

 

What You’ll Do:

Department & Portfolio Collaboration

  • Effectively coordinate and communicate with department heads to complete multifamily deliverables associated with weekly reporting, property onboarding, and policy and procedure build out
  • Maintain diligent project management notes for all relevant departments in conjunction with multifamily platform build out
  • Streamline communication for transition tasks between site-team, RM, and department heads
  • When needed, assist RM and PM with site-specific tasks including renewal management, delinquency & collections efforts, and Entrata dashboard maintenance

Property Onboarding

  • Participate in all transition preparation when new assets are brought under management
  • Complete all deliverables associated with property onboarding including Adaptive set up forms, Conservice set up forms, assist RM with lease intake forms, and work with Transition lead to complete all initial audits for resident billing accounts and lease reviews
  • Work with RM and SAM team to audit and edit all asset digital marketing avenues for accuracy and presentation
  • Participate in all property operations calls for first 60 days

Reporting

  • Create and prepare weekly reports for RM’s and RVP to provide enhanced visibility on portfolio KPI’s
  • Create templates for portfolio wide use and consistency for:
    • Lease expiration tracking
    • Renewal tracking
    • Availability store
    • Make ready summary board
    • Pre-move out inspection summary
  • Assist with RevolutionRE onboarding for all multifamily properties to include data audits, updating property dashboards, and working with Learning & Development team to help build out training modules
  • Work with RM and RVP on Peak Insights reports for 2026 roll out
  • Work with Risk & Complaince team to create affordable housing deliverables including
    • Market one-sheet roll-up identifying state & local affordable housing laws
    • Partner with Operations to pilot Entrata affordable platform
    • Affordable housing tracker per property to identify certification & recertification dates and timelines

Renewal Management

  • Send 120 & 90 day renewal offers
  • Update renewal tracking reports for RM’s in real time
  • Create consistent renewal deliverables for portfolio use for print and digital distribution

What You’ll Need:

  • High school diploma or equivalent is required; college degree preferred
  • Four (4) + years’ experience in property management required
  • Two (2) + years’ experience in multifamily property management required
  • Proven ability to perform in all areas of Property Management including people management, financial reporting, problem-solving, sales, maintenance and resident relations
  • Excellent verbal and written communication skills
  • Working knowledge of Property Management software; Entrata highly preferred
