Our U.S based client has an exciting opportunity for an Administrative Virtual Assistant.

 

Job Summary:

We are looking for a highly organized and proactive Administrative Virtual Assistant based in the Philippines to support our client. The ideal candidate will be responsible for managing daily administrative tasks, handling communications, and providing support to the CEO and CFO. You’ll help streamline operations, manage calendars, organize documents, and ensure smooth correspondence and communication.

 

Responsibilities and Job Requirements:

Key Responsibilities:

  1. Inbox Management & Correspondence: Respond to emails, inquiries, and messages on behalf of executives.
  2. Managing Communication Channels: Oversee and manage communications across various platforms.
  3. Calendar Management: Schedule appointments, meetings, and events (online & in-person) ensuring that executives are well-prepared.
  4. File & Document Management: Organize and maintain files, perform data entry, and keep accurate records.
  5. Report & Presentation Creation: Assist in drafting presentations, compiling reports, and proofreading documents.
  6. Meeting Agenda Preparation: Draft agendas for meetings and distribute relevant documents in advance.
  7. Market Research & Reporting: Conduct research as needed and prepare reports for management.
  8. Team Communication: Act as a liaison, relaying messages and instructions between team members on behalf of executives.
  9. Meeting Coordination: Schedule and organize Zoom calls for the CEO, CFO, and broader team.
  10. Correspondence: Draft letters, memos, and other communications.
  11. Update Information in Monday.com: Regularly update project and task statuses in Monday.com.
  12. Customer Support: Address inquiries, issues, and complaints from members or partners via email.
  13. HR Support: Assist with onboarding new members and maintaining HR records via email.
  14. Membership Updates & Renewals: Handle member updates and renewal support tasks.

·         Calendar: Calendly, Outlook, & Google

·         Creatives: Canva, Powerpoint & Google Slides, Microsoft Office

Requirements:

·        2-3 years of proven experience as a Virtual Assistant or similar administrative role for U.S based clients

·        Excellent communication skills in English.

·        Ability to handle multiple tasks and priorities with attention to detail.

·        Proficiency in using the above-listed tools and software.

·        Strong organizational and time management skills.

·        Ability to work independently in a remote setting.

Preferred: Previous experience working for Women Organizations

Other Details:

·         Schedule: Part-time (15-20 hours/weekly), 8/9AM EST starting time

·         Fully Remote

·         Independent Contractor
