Job Requirements:

  • Min 3.5 years of proven experience as a Virtual Assistant, preferably with a background in healthcare.
  • Familiarity with healthcare systems, electronic health records (EHR), and administrative processes.
  • Excellent communication skills, both written and verbal, with a focus on patient care and customer service.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. 
  • Experience in HealthCare and managing multiple diaries.

Core responsibilities:

  • Take and make client/patient calls, providing information, answering questions, and addressing any concerns in a courteous and professional manner.
  • Schedule appointments, manage calendars, and coordinate follow-ups with clients and patients. Maintain clear and accurate communication records, ensuring all interactions are documented appropriately.
  • Set up new clients/patients on relevant healthcare and administrative systems, ensuring all necessary information is accurately entered and verified.
  • Guide clients/patients through the onboarding process, providing instructions and support as needed. Collaborate with other team members to ensure a smooth and efficient onboarding experience.
  • Perform general administrative tasks, including email management, calendar scheduling, and document preparation.
  • Manage and organize digital files, ensuring that all documents are easily accessible and properly archived. Assist in preparing reports, presentations, and other materials as required.
  • Accurately enter and update client/patient data in relevant systems, ensuring all information is kept up-to-date and secure.
  • Perform regular data audits to ensure accuracy and completeness of records. Handle all client/patient information with the highest level of confidentiality, adhering to all relevant regulations.
  • Ensure all administrative processes comply with healthcare industry standards and regulations.
