We are seeking a highly skilled and detail-oriented Senior Payroll Specialist to join our HR team. The ideal candidate will have at least 5 years of experience in multi-state payroll processing using  ADP Workforce Now. This role will manage bi-weekly payroll for both hourly and salaried employees, ~300 total and growing, across 10 states, ensuring accuracy and compliance. The Senior Payroll Specialist will also be responsible for owning our 401(k) program, processing commissions & performance bonuses, and generating detailed payroll reporting for our Finance team. Additionally, the Senior Payroll Specialist will partner with the Sr. HR Business Partner to administer leaves of absence, ensuring proper tracking and compliance with leave policies and regulations.

Key Responsibilities
  • Bi-Weekly Payroll Processing: Accurately process bi-weekly payrolls for hourly and salaried employees across multiple states, ensuring accuracy and compliance with federal, state, and local regulations.

  • Time & Attendance Management: Maintain and optimize complex configurations in the time & attendance system, ensuring accurate tracking and reporting of employee hours, overtime, and leave balances.

  • Financial Reporting: Collaborate with the Finance team to prepare detailed payroll-related reports for property owners, including detailed labor costs and allocation of payroll expenses.

  • Ownership of ADP: Act as an HRIS subject matter expert, resolving issues and maximizing configuration of features.

  • Commissions & Bonuses: Partner with regional managers to process and pay out commissions and performance bonuses accurately and on time.

  • Compliance & Audits: Conduct regular audits of payroll data to ensure compliance with company policies and legal requirements, with a strong focus on California wage and hour laws.

  • Employee Support: Provide customer service to employees regarding payroll inquiries, resolving issues promptly and accurately.

  • Process Improvement: Identify and implement opportunities to streamline payroll processes and improve system configurations to enhance efficiency and accuracy.

  • Requirements
  • Experience: Minimum of 5 years of experience in multi-state payroll processing, including California and New York. Strong background in handling complex time & attendance configurations.

  • Technical Skills: Expert proficiency in ADP Workforce Now, particularly in payroll, time & attendance, and reporting modules. Strong proficiency in Microsoft Excel and/or Google Sheets.

  • Knowledge: Comprehensive understanding of federal, state, and local payroll regulations, including wage and hour laws, tax compliance, and garnishments.

  • Analytical Skills: Strong analytical and problem-solving abilities, with a high level of attention to detail and accuracy.

  • Communication: Excellent verbal and written communication skills, with the ability to explain complex payroll and reporting information clearly.

  • Organization: Highly organized, with the ability to manage multiple priorities and deadlines in a fast-paced environment.

  • Nice-to-Haves
  • Experience in setting up payroll entities, including state registrations
  • New hire reporting in states where required
  • Experience with EASE for benefits administration
