Travel and Event Coordinator - Remote | WFH

Job Overview

We are looking for a highly organized and proactive individual to join our dedicated team as a Travel and Event Coordinator. This role is crucial in supporting our commitment to build a diverse environmental data science community by skillfully managing travel arrangements and event logistics for our participants. The ideal candidate will facilitate seamless travel experiences while complying with institutional policies and guidelines.

Key Responsibilities

  • Oversee travel arrangements for event participants, encompassing flights, accommodations, transportation, and meeting logistics.
  • Effectively communicate with participants to clarify event details, institutional policies, and procedural guidelines.
  • Manage stipends or reimbursements related to travel expenses, ensuring timely processing.
  • Provide tailored travel information and updates to participants.
  • Interpret and elucidate travel guidelines in relation to funding initiatives.
  • Serve as a primary resource for working group participants, offering support on meeting requirements and available resources.
  • Revise travel guidelines as necessary to reflect current practices.
  • Plan, coordinate, and schedule events, delivering day-of support and addressing logistical challenges.
  • Review events and collect feedback to enhance workflows and ensure adherence to campus policies.
  • Negotiate rates with event and travel service providers to optimize budget efficiency.

Required Skills

  • Proficient in Microsoft Office Suite (Word, Excel), Outlook, Zoom, and Google Suite (Docs, Sheets, Drive).
  • Strong dedication to equity and inclusion, with the ability to collaborate effectively with diverse groups.
  • Excellent organizational abilities with meticulous attention to detail.
  • Outstanding writing and communication skills, capable of interacting with various audiences.
  • Capacity to manage high volumes of information, multitask, and meet tight deadlines.
  • Service-oriented mindset, with an emphasis on follow-up and proactive issue resolution.

Qualifications

  • Bachelor’s degree or equivalent experience in hospitality management, human resources, or a related field.
  • Previous experience in event coordination or travel management is preferred.

Compensation And Benefits

  • Competitive annual salary range for this part-time (50%) position: \(23,050-\)28,800.
