Job Summary / Objectives:

Rapid Micro Biosystems is searching for a Global Payroll and Employee Expense Senior Specialist to join our team. We are searching for a driven individual that will be responsible for managing the payroll operations, including the development and implementation of revised policies, procedures, and controls to ensure the efficiency and accuracy of the payroll function. This position also ensures compliance with applicable federal and state taxes, laws, regulations, and standard operating procedures.  This position also acts as the liaison and own the reporting relationships with international payroll providers and reports to the Sr. Accounting Manager.

Principal Responsibilities
•Manage all aspects of the organization’s payroll function. Oversee the maintenance of the organization’s payroll files and operations. Resolve escalated customer service issues and complex problems utilizing expertise in payroll policies and laws. Provide advice and guidance to employees of all levels throughout the organization on payroll related matters.

•Knowledge of the state and federal laws that govern the payment of wages, taxation, employee benefit administration, garnishments, withholdings, and reporting requirements.

•Manage payroll tax related requirements to ensure compliance. Oversee the review of multi-state and federal tax information; the preparation and distribution of W-2 and multi-state tax forms.

•Partner with international payroll providers to ensure timely payments, compliance and reporting.

•Knowledge and experience with payroll tax implications and administration of related taxes for employee stock compensation

•Assess, evaluate, implement and monitor current systems, processes and procedures to ensure payroll is accurately prepared and distributed in a timely manner. Collaborate with internal and external parties to ensure policies and practices are compliant with applicable legal requirements, government rules and guidance and internal standards.

•Communicate regularly with field management and other staff regarding issues affecting payroll and timekeeping.

•UKG subject matter expert as it relates to timekeeping, payroll, and associated reporting.

•Manage data integrity of payroll information and related time-tracking information within UKG.

•Maintain payroll guidelines, policies and procedures.

•Perform quarterly reconciliation of payroll taxes and expense in our general ledger. Resolve any discrepancies in payroll tax filings.

•Stay abreast of regulatory, business and technology changes and industry trends to ensure timely and strategic implementation of best practices and to ensure compliance.

•Partner closely with HR to ensure alignment of different employment matters impacting payroll

•Concur expense administrator, including employee maintenance, review and approving expense reports in accordance with the Expense policy.

•Employee expense reporting

•Assist with 401(K) audits, worker compensation audits, and financial statement audits as it relates to payroll data.

•Other tasks and responsibilities as assigned.


Required Skills and Abilities

•Expertise in payroll, state and federal taxes, policies, and laws in a multi-state environment.

•Certified Payroll Professional (CPP) preferred.

•Excellent PC skills, including Microsoft Office applications (e.g., Excel, PowerPoint, Word).

•Experienced in UKG software, including reporting.

•Experience with Concur and Egencia is highly desirable.

•Experience managing global payroll providers.

•Excellent project management, analytical and research skills with a demonstrated ability to manage projects from inception through completion.

•Demonstrated ability to evaluate opportunities for process improvement and the ability to find effective solutions.

•Ability to handle escalated situations using superior interpersonal, negotiating, and problem-solving skills.

•Ability to recognize and focus on critical issues; flexibility to balance and respond to competing needs.

•Highly organized with strong attention to detail.

•Customer service mindset while working with global employee population.
