Job Title Senior Manager for Document Fulfillment and Safekeeping Operations

Overview
As the Senior Manager for Document Fulfillment and Safekeeping Operations, you will be responsible for the operational management and support of current and future-state processes within Document Custody Operations. The Document Custody Operations team (750+ staff over multiple shifts in 2 locations) processes over 45,000 document related transactions daily. This includes the receipt of upwards of 5k packages containing upwards of 30k files daily, the sorting and directing of these files to the appropriate Operations’ teams, for New Collateral Reviews, Loan file reinstatements and the accurate management and filing of these new files with over 23mm files in existing inventory for safekeeping and the fulfillment of 15k Release/shipping requests daily for over 100 clients.

What You’ll Do
Have direct involvement with the new product pipeline and the support of new business, accountability for the delivery of programs and projects in line with organizational strategy
Promote continuous improvement and driving group strategy and change across several initiatives, minimizing risks, mitigating issues, and escalating where appropriate, being commercial and identify opportunities to reduce costs for the function
Collaborate and drive change with Run the Bank business owners (Front Office and Operations), Legal and Compliance, Regulatory Affairs, and the relevant Deutsche Bank technology delivery programs
Serve as the Operational representative in Document Custody industry forums and coordinate Audit, operational risk, and other control requirements, while meeting financial targets associated with operations, managing against headcount targets, overtime and project expenses and provide stakeholders with clear status updates to assist the delivery of timely, accurate, and compliant business requirement documentation
Manage and coordinate delivery of the regulatory projects, providing status reports to program stakeholders and escalating where appropriate, being cognizant of industry change that could impact operation’s function, liaise with internal points of contact for industry and regulatory events
Assist with managing the relationship with the Business, technology, clients, & vendors and establish an implement strategy to support scalability and efficiency of product through automation, process re-design and continuous improvement

Coordinate with other Operation’s team managers to insure internal and external service level agreements are achieved daily and prepare metrics and reports for senior management daily
Skills You’ll Need
Strong leadership experience with an empowering mindset
Manages complexity – Analyzes a high volume of complex and sometime contradictory information to effectively solve problems and make informed decisions with calculated risk
Experience in managing mid-large-scale operations with a good understanding of either in Document Custody, Loan Servicing, Fulfillment and or Records management industry
Strong understanding of GSE’s Fannie Mae, Freddie Mac, and Ginnie Mae custodial guide requirements
Experience in delivering and or coordinating small to medium programs and with working with offshore partners, ensuring team cohesion and stability
Skills That Will Help You Excel
Strong analytical and numerical skills with keen mindfulness, effective communication, and presentation skills both oral and written
Ability to manage and prioritize numerous tasks concurrently and ensure timely delivery of urgent requests
Ability to adapt to change in real time meeting demands while maintaining operational sustainable
Expectations
It is the Bank’s expectation that employees hired into this role will work in the Santa Ana office in accordance with the Bank’s hybrid working model.

The salary range for this position in California is $150,000 to $221,500. Actual salaries may be based on a number of factors including, but not limited to, a candidate’s skill set, experience, education, work location and other qualifications. Posted salary ranges do not include incentive compensation or any other type of renumeration.
