Client Data Specialist position. This position may be filled remotely, or in any of our locations.
The Client Data Specialist is primarily responsible for the entry and management of client, matter and timekeeper data within applicable firm software applications. This role serves as a liaison between internal and external clients to ensure delivery of optimal client service, client satisfaction, and retention. The Specialist effectively interprets and communicates client objectives internally to ensure client satisfaction by providing first-class service levels and quality data. Essential functions include:
- Ensure data integrity in 3E, Case Management, and Intapp Open.
- Synchronize and maintain the data flow between the above-mentioned systems.
- Correspond with attorneys and designated client contacts as appropriate.
- Prepare new client/matter report for firm wide distribution.
- Coordinate entry of firm wide client, matter, timekeeper, and user access information into 3E.
- Maintain client and matter information in the 3E database including but not limited to: update billing information, manage rate tables, record name changes, update attorney designation changes, update matter status, and edit other 3E fields as requested.
- Coordinate entry of client case information into client case management.
- Follow up with firm personnel regarding clients and matters.
- Assist with client development projects relating to financial systems.
- Conduct training & provide support to the legal support team on the Firm’s intake system.
- Review, analyze and summarize Outside Counsel Guidelines - set 3E accordingly to ensure client compliance.
- Serve as a liaison with Accounting, Conflicts, and Information Governance teams to maintain efficiency and accuracy in the exchange of information utilized and maintained in the client, matter and timekeeper profiles and other area systems.
- Escalate issues/problems to Firm leadership that prevents or hinders the delivery of high-quality support to clients.
- Participate in special projects as assigned.
- Performs other duties as assigned.
Position Requirements
- High School Diploma or GED required; 2-year degree preferred.
- 2-3 years’ relevant experience required, preferably in a law firm environment.
- Proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint and Excel.
Compensation And Benefits
Employees are entitled to compensation commensurate with skill and experience.
The exact compensation will vary based on skills, experience, location, and other factors permitted by law. The expected compensation ranges for this position in various states and jurisdictions are as follows:
- State of California: $48,000 - $92,000
- State of Colorado: $44,000 - $79,000
- Jersey City, NJ: $52,000 - $95,000
- State of Massachusetts: $48,000 - $92,000
- State of New York: $45,000 -$97,000
- State of Washington: $47,000 - $89,000
- Washington, D.C.: $62,000 - $91,000
The above salaries do not include a discretionary bonus, however bonus opportunities are non-guaranteed, and are dependent upon individual and firm performance.
